Location: Bromley, London
Hours: Full Time
Contract: Temporary (Opportunity to become permanent)
About Us
We are a leading provider of individual, communal, and district heating maintenance services, delivering essential heating and hot water solutions to residential properties across Southwark and surrounding London boroughs.
We are looking for a motivated and organised Administrative Assistant to join our Southwark team and play a key role in supporting the delivery of high-quality services to our clients and residents.
The Role
This is a varied and fast-paced position supporting our operational and management teams. The successful candidate will be responsible for ensuring that administrative processes are completed efficiently, helping engineers and service coordinators deliver an effective service, and maintaining excellent communication with clients, residents, contractors, and suppliers.
This role would suit someone who is highly organised, confident using IT systems, and capable of managing multiple priorities in a busy environment.

Key Responsibilities
- Providing day-to-day administrative support to the Southwark management and operational teams.
- Managing incoming telephone calls, emails, and customer enquiries.
- Raising and updating jobs on internal systems and ensuring records are accurately maintained.
- Supporting engineers and service coordinators with scheduling, documentation, and job administration.
- Preparing reports, spreadsheets, and operational updates.
- Processing purchase orders, invoices, and supplier documentation.
- Maintaining accurate records of work orders, quotations, compliance documentation, and service reports.
- Liaising with residents, local authority clients, subcontractors, and suppliers in a professional manner.
- Maintaining electronic filing systems and ensuring documentation is readily available when required.
- Supporting the wider team with general administrative duties and ad hoc projects.
Skills and Experience
Essential
- Previous experience in an administrative or office support role.
- Strong organisational and time management skills.
- Excellent attention to detail and accuracy.
- Good communication skills, both written and verbal.
- Proficiency in Microsoft Office, including Outlook, Word, Excel, and Teams.
- Ability to work independently and as part of a team.
- Professional and customer-focused approach.

Desirable
- Experience working within a maintenance, engineering, facilities management, housing, or local authority environment.
- Experience using job management or scheduling systems.
- Understanding of reactive maintenance and service delivery processes.
- Experience producing operational reports and managing performance data.
