Administrative Assistant
The Administrative Assistant serves as a trusted partner to Clinical Executives, managing complex calendars, inboxes, travel, communications, meetings, inquiries, and technology needs so leaders can stay focused on business priorities. Requires sound judgment, discretion, and the ability to manage competing priorities in a fast-paced environment.
Duties & Responsibilities
- Executive Calendar, Inbox & Scheduling: Manage complex calendars and inboxes for multiple Clinical Executives, prioritizing requests and correspondence, resolving conflicts, and coordinating meetings with team members, matrix partners, and external stakeholders.
- Travel & Expense: Book travel (CWT) and submit timely, accurate expense reports in Concur per Enterprise policy.
- Meeting Management: Coordinate virtual and onsite meetings, including venue booking, setup, catering, and AV; prepare agendas and materials, capture minutes, and track action items to completion.
- Call Hosting: As assigned, host ad hoc and recurring calls, including scheduling, distributing agendas, opening and closing calls, managing Teams features (lobby, recording, Slido), and circulating follow-ups.
- Executive Communications & Materials: Draft correspondence, reports, and PowerPoint decks; route external materials for review and approval.
- Stakeholder Inquiries: Serve as point of contact for team members (CG&I), matrix partners (across Cigna), and external stakeholders (clients, brokers, providers, other); field, triage, and redirect inquiries on behalf of Clinical Executives.
- Data & Operations: Compile, track, and report departmental data; maintain team SharePoint/Teams sites, files, and distribution lists; as assigned, process purchase requests and invoices and support budget tracking.
- Technology, Equipment & Supplies: Ensure Clinical Executives have the equipment, supplies, and connectivity to perform their roles; coordinate setup, issue resolution, and onboarding/offboarding with IT.
- Team Support: Provide backup coverage for peer AAs; coordinate team recognition, celebrations, and events; perform other duties and projects as assigned.

Qualifications
- Ideal candidate will reside in Mountain or Pacific time zone.
- High school diploma required; advanced degree a plus.
- 3+ years of administrative professional experience.
- Advanced proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, OneNote).
- Strong written communication skills and exceptional attention to detail.
- Sound judgment and problem-solving skills to make independent day-to-day decisions.
- Demonstrated discretion handling confidential and sensitive information, including PHI.
- Proven ability to prioritize and manage competing demands in a fast-paced environment.
- Collaborative communicator with Clinical Executives, team members, matrix partners, and external stakeholders.
- Preferred: SharePoint, Concur, Slido, Microsoft Planner, and Copilot experience.
If you will be working at home occasionally or permanently, the internet connection must be obtained through a cable broadband or fiber optic internet service provider with speeds of at least 10Mbps download/5Mbps upload.
For this position, we anticipate offering an hourly rate of 26 - 39 USD / hourly, depending on relevant factors, including experience and geographic location. This role is also anticipated to be eligible to participate in an annual bonus plan.
