Administrative Assistant
Hubbis is seeking an organised, reliable Administrative Assistant to support its content administration and approvals process. The role involves liaising with clients and interviewees, uploading content to the firm’s internal database, and helping prepare content for social media and marketing emails.
Hubbis provides content, events and professional development for the wealth management community across Asia, India and the Middle East. This position would suit someone with strong attention to detail, good written English and an interest in publishing and content marketing.
Key Responsibilities
- Send draft articles and interviews to clients and interviewees for review and approval.
- Track approvals, follow up on outstanding responses and coordinate requested amendments with the editorial team.
- Upload content to Hubbis’ internal database, ensuring the correct versions, supporting materials and contributor details are recorded.
- Keep content records organised and up to date, including approval status, client feedback and publication information.
- Populate LinkedIn templates and share approved content across Hubbis’ social media channels.
- Curate and prepare marketing emails with guidance from the team, including selecting content, populating templates and checking links.
- Assist with the day-to-day administration of the content workflow.
- Contribute to content writing and curation where appropriate, depending on experience and interests.

Candidate Profile
- Highly organised, with strong attention to detail.
- Good written English and a professional, courteous approach to client communication.
- Comfortable working with databases, spreadsheets, social media and email marketing tools, or willing to learn.
- Able to follow established templates and processes, manage priorities and meet deadlines.
- Dependable, proactive and comfortable working independently within a remote team.
- Previous experience in content administration, marketing or client coordination would be useful.

Location and Working Arrangements
The position can be fully remote, allowing the successful candidate to work from home. There is also an opportunity to relocate to Hong Kong or Dubai if the candidate wishes, with arrangements to be discussed during recruitment.
