We are partnering with one of the world's most successful and fastest-growing hedge funds to find a Team Assistant to join their London office. This is a fantastic opportunity to become part of a collaborative and high-performing culture, supporting day-to-day office operations and helping to create a best-in-class workplace experience.
Working alongside a dynamic Facilities and Front of House team, you will play a key role in ensuring the office operates efficiently while providing an outstanding experience for employees, clients and visitors.
Key Responsibilities
Front of House & Client Experience
- Welcoming clients, visitors and guests with professionalism and warmth
- Managing meeting room bookings and coordinating room set-up requirements
- Escorting guests, offering refreshments and ensuring a seamless visitor experience
- Maintaining exceptional presentation standards across all meeting rooms and client-facing spaces
- Supporting VIP visits and high-profile meetings

Facilities & Office Operations
- Coordinating office maintenance, repairs and supplier relationships
- Managing office supplies and pantry stock across London and Paris offices
- Handling incoming and outgoing post, couriers and deliveries
- Supporting health and safety procedures, visitor management and security processes
- Maintaining office equipment and arranging servicing where required
- Processing invoices and assisting with vendor management
Team Support
- Providing administrative support to Executive Assistants and wider business teams
- Assisting with internal events, meetings and catering arrangements
- Coordinating travel bookings and logistics when required
- Preparing reports, presentations and project documentation
- Providing cover for the Front of House Manager during periods of absence

About You
- Previous experience in a Team Assistant, Facilities Assistant, Office Assistant, Receptionist, Front of House, Office Coordinator or similar role
- Strong organisational skills with the ability to manage multiple priorities effectively
- Excellent communication and interpersonal skills
- A proactive, hands-on approach with a willingness to take ownership
- Exceptional attention to detail and a commitment to delivering high standards
- Confident working in a professional corporate environment
- Proficient in Microsoft Office
