Administrative Assistant
We are looking to appoint an Administrative Assistant to join the Engineering and Maintenance department on a full time basis.
As part of a dedicated team, you will respond to routine inquiries from external and internal sources. You will provide administrative support in a variety of functions to either an individual, the team or a department in the organisation. You will perform a wide variety of tasks at any one time, requiring advanced understanding of the Maintenance and Engineering department.
To be successful in this role, you will be responsible for the administration of the Departments Computerised Maintenance Management System, including but not limited to; creating new user accounts, register of assets, generate Planned Work Schedules, process daily work request and issue work lists. You will be responsible for obtaining contractor pre and post visit documentation e.g. RAMS, training records, reports and Supplier Corrective Actions Requests. You will schedule Preventative Maintenance and Statutory Inspection works with contractors, end users and Sekisui Technicians. You will be maintaining the Approved Contractor accreditations and insurance certificates upon the required review period, and the control of the process of selection and approval of new contractors. You will be responsible for the unique numbering, logging, circulating for SAL approval and filing of approved Capital Approval Forms.

The successful candidate will have education and / or experience in some, or all, of the following areas:
- 3-5 years administrative experience, 2 or more at this level
- Ability to own role independently with minimum guidance or supervision; work with the freedom to use reasonable initiative with established guidelines
- Well organized with proven planning skills working to strict deadlines
- Attention to detail
- Microsoft Excel and Word skills
- In-depth knowledge of functional areas supported and working to Current Good Manufacturing Practice (cGMP)
- Proven ability to work on Computerised Maintenance Management System
