About Us

We are an international Halal Certification Body providing certification, inspection, and conformity assessment services to organizations operating in the food, tourism, healthcare, cosmetics, pharmaceuticals, and related sectors.

Our activities include the independent assessment and certification of conformity with Halal requirements, international standards, and applicable regulatory requirements.

As part of our continued growth in the United Kingdom and international markets, we are seeking a highly organized, detail-oriented, and motivated Administrative Assistant to join our London office.

Position Overview

The successful candidate will support certification activities related to Halal certification, food safety, quality management, tourism, healthcare, and other conformity assessment schemes. The role combines certification administration, client support, document control, and general office management responsibilities.

The position requires regular communication with clients, partners and stakeholders across English-speaking and Arabic-speaking markets. Therefore, fluency in both English and Arabic is essential for the successful performance of this role.

This position is office-based and requires regular presence at our London office.

Key Responsibilities

  • Assist in document control, records management, and compliance-related activities.
  • Support technical reviewers and certification personnel with administrative tasks.
  • Manage daily office operations and administrative activities.
  • Handle incoming and outgoing correspondence, emails, and telephone communications.
  • Organize meetings, travel arrangements, and business appointments.
  • Prepare reports, presentations, and business documents.
  • Maintain filing systems and ensure proper document control.
  • Coordinate office supplies and support general office management activities.
  • Communicate with clients, partners, accreditation bodies, government authorities, and stakeholders in the United Kingdom, the Middle East, and other international markets.
  • Provide administrative support for certification, inspection, and compliance-related activities.
  • Willingness to take on additional responsibilities and tasks as required to support the needs of the team and the business.

Requirements

  • Fluent English language skills (written and spoken).
  • Fluent Arabic language skills (written and spoken).
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • High attention to detail and accuracy.
  • Ability to work independently and manage multiple priorities.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Professional and customer-oriented attitude.
  • Reliability, integrity, and discretion when handling confidential information.
  • Previous experience in administration, office management, customer service, certification, compliance, or related activities is an advantage.
  • Applicants must have the legal right to work in the United Kingdom.

Preferred Qualifications

The following qualifications will be considered a strong advantage:

  • Degree in Food Engineering, Food Technology, Chemical Engineering, Biotechnology, Agriculture, Nutrition, Quality Management, Veterinary Sciences, Pharmacy, Healthcare Management, Business Administration, or a related field.
  • Experience in the food industry, certification, quality assurance, food safety, healthcare, or regulatory compliance.
  • Knowledge of Halal certification requirements and food production processes.
  • Familiarity with management systems and standards such as ISO 9001, ISO 22000, HACCP, FSSC 22000, GMP, GHP, or similar schemes.
  • Experience working with technical documentation, product specifications, ingredient reviews, or compliance assessments.
  • Experience in certification bodies, conformity assessment organizations, inspection activities, or quality management systems.
  • Valid driving licence.
  • Willingness to undertake occasional business travel within the United Kingdom and internationally.
