The Role:
Children and Families Volunteers is a volunteering service within Children’s Services at Hampshire County Council. Our dedicated team of around 200 volunteers supports children, young people and families across Hampshire, providing valuable help when it is needed most.
Joining our volunteering service as an Administrative Assistant, you’ll play a key role in supporting our volunteers and helping our service continue to grow. You’ll be at the heart of the team, providing high-quality administration, communicating regularly with volunteers, families and young people, and helping to ensure our services run smoothly.
What you’ll do:
No two days will be exactly the same. Working closely with our Volunteer Coordinators and wider team, you’ll:
- Support the recruitment and onboarding of new volunteers, including administering DBS checks, references and relevant documentation and maintaining the volunteer database.
- Promote volunteering opportunities and liaise with volunteer centres, community organisations and other partners.
- Provide a responsive point of contact for volunteers and other enquiries by phone and email, including monitoring shared inboxes, covering our duty phone line and helping with general queries.
- Administer the Return from Missing Conversations service, contacting young people and families, coordinating conversations with volunteers and accurately recording information on the case management system.
- Support the day-to-day administration of our volunteer service, including processing expenses, coordinating training and providing information and reminders relating to out-of-hours visits.
- Organise team meetings and supervision sessions, including coordinating arrangements and taking accurate minutes.
- Support communications and service improvement, including helping to produce the volunteer newsletter and gathering feedback from children, young people and families.

What we’re looking for:
You’ll be a confident, approachable and customer focused administrator who enjoys working with people and takes pride in providing a great service. With excellent attention to detail, you’ll be comfortable managing a varied workload and adapting your priorities when needed.
You’ll bring:
- Strong communication skills and the confidence to communicate effectively with people at all levels, including volunteers, young people and families.
- Good IT skills, with knowledge of Microsoft Word, Excel and Outlook and the confidence to learn and use different systems.
- Knowledge and experience of safeguarding.
- Experience of delivering excellent customer service.
- Strong organisational skills, with the ability to plan your own workload, meet deadlines and work on your own initiative with limited supervision.
- A flexible and positive approach to changing priorities and requirements.
- The ability to work accurately, pay close attention to detail and maintain confidentiality when handling sensitive information.
