The Opportunity
We are seeking an experienced Production Administrative Assistant to join our UK Film Team in London, reporting to the Director, Production, Film (UK).
The successful candidate is organised, self-motivated, and adaptable, with careful attention to detail and the ability to manage multiple priorities. They are proactive, solutions-focused, and confident exercising sound judgment, while communicating clearly and effectively with colleagues and external partners.
Core Responsibilities
- Manage complex calendars and coordinate internal and external meetings across multiple time zones, including logistics and technical set-up.
- Arrange detailed domestic and international travel, working closely with travel and visa teams to understand entry requirements, restrictions, and other considerations. Coordinate travel across the wider team where required.
- Process travel and expense reports, including responsibility for the Director of Production’s expenses.
- Manage communication with internal cross-functional teams and external production partners, vendors, and crew.
- Develop fluency in internal systems, including Slate Manager, Watson, and Prequel, using them to organize, input, and retrieve production-related information accurately and efficiently.
- Support and deliver special projects, taking ownership where appropriate and collaborating with the wider team as required.
- Act as a key point of contact for the Film Team, building strong working relationships with administrators and coordinators across the wider studio and functions including Post Production, Creative Development, Production Finance, and Physical Production.
- Identify opportunities to improve processes, efficiency, and alignment across the Film Team and wider UK organization, helping to develop and implement practical solutions.
- Create and maintain documents, presentations, trackers, and other materials as required.
- Take clear and accurate notes during internal and external project and slate meetings, ensuring relevant actions and information are captured.
- Explore and adopt AI and other emerging tools where they can improve efficiency and effectiveness across the role.

Core Qualifications
- Experience within the film industry (typically 5 or more years), ideally supporting senior executives or working within a production office environment.
- Understanding of the production environment, with an interest in continuing to develop knowledge of current processes, systems, and tools.
- Organisational skills, with the ability to manage competing priorities and adapt to changing demands.
- Effective written and verbal communication skills, together with strong interpersonal skills.
- Proactive and creative approach to problem-solving, with the confidence to exercise judgment, take considered risks, and think beyond established ways of working.
- Ability to work effectively both independently and as part of a team, taking ownership of responsibilities.
- Sound judgment and discretion when handling confidential or sensitive information.
- Proficiency in Google Workspace, including Drive, Docs, Sheets, Slides, Gmail, Forms, and Calendar, together with general technical confidence.
