Administrative Assistant - 12 month FTC Location: London (Hybrid, 3 days per week in the office) £220 p/d and inside IR35

The Opportunity We're looking for an organised and proactive Administrative Assistant to join a busy, collaborative team on a maternity cover contract. This is a varied role where you'll provide executive-level support to senior leaders while helping ensure the smooth day-to-day running of the office. You'll be someone who enjoys juggling multiple priorities, building relationships across the business and keeping everything running efficiently. Working with confidential information, you'll be trusted to deliver a high standard of administrative support in a fast-paced environment.

What You'll Be Doing

  • Providing executive and administrative support to senior management
  • Managing complex calendars, meetings and appointments
  • Coordinating UK and international travel arrangements, itineraries and accommodation
  • Preparing and submitting expense claims
  • Supporting internal and external events, including client meetings and training sessions
  • Maintaining accurate records across internal systems including Salesforce and Basware
  • Processing invoices and supporting finance administration
  • Preparing reports, presentations and business documentation
  • Managing office supplies and maintaining contact lists
  • Acting as a key point of contact for colleagues, visitors and external stakeholders
  • Responding to enquiries professionally via phone and email
  • Providing reception cover and wider administrative support when required
  • Handling confidential information with professionalism and discretion

Essential Skills & Experience

  • Previous experience in an Administrative Assistant, Executive Assistant or Office Coordinator role
  • Excellent organisational skills with the ability to manage multiple priorities
  • Strong written and verbal communication skills
  • Experience supporting senior stakeholders and executives
  • Confident coordinating diaries, meetings and travel arrangements
  • Proficient with Microsoft Office, including Outlook, Word, Excel and PowerPoint
  • Experience using CRM or finance systems such as Salesforce or Basware would be advantageous
  • High attention to detail with excellent problem-solving skills
  • Professional, proactive approach with the ability to work independently
