Role Overview
Here at Americold Spalding, we are now recruiting for an Administrative Assistant.
As the primary contact for visitors, HGV drivers, and customers arriving on site, you will ensure effective communication between external stakeholders and the business. You will be responsible for processing customer requirements in line with expectations, while consistently delivering high-quality service.
Key Responsibilities
- Build trusted relationships with both internal and external customers through clear and professional communication.
- Develop a strong understanding of system processes related to receipt and shipment control, and ensure that any significant updates are shared with supervisors and management.
- Act as the main point of contact for drivers delivering or collecting stock, coordinating their needs efficiently.
- Respond promptly to customer demands, ensuring all communications are clear and that requirements are accurately understood and actioned.
- Maintain customer data in relevant systems with precision and timeliness, and communicate these requirements to other departments to support smooth operations.
- In representing the company’s interests, ensure all applicable charges are correctly captured.
- Manage and update records of customer or internal non-conformances, ensuring they reflect the most current information.
- Supporting team development, assist in training colleagues during changes in duties or ahead of leave periods and holidays.
- Carry out any additional tasks reasonably requested by management.
- Control access to the site via the Gatehouse, monitor and record entries and exits, and escalate status alarms to the appropriate response teams.
- Coordinate out-of-hours engineer and contractor callouts, act as the emergency services contact point, and operate CCTV systems in compliance with GDPR standards.
- During night shifts, conduct site inspections to ensure safety and security protocols are upheld.

Rate of Pay
- £13.37 per hour
- Overtime rate £20.06
- Shift premium at £25.83
