Aquent is seeking a highly skilled and dynamic Administrative Business Partner
to provide exceptional executive support within a fast-paced, global environment. In this pivotal role, you will directly enable senior leadership to drive strategic initiatives, ensuring seamless operations and contributing significantly to the company’s success. Your expertise will be crucial in maintaining efficiency, fostering a positive work environment, and making a tangible impact on the organization’s strategic objectives.
As an Administrative Business Partner, you will proactively manage a wide range of administrative tasks, ensuring the smooth operation of executive functions and contributing to the overall strategic goals of the team and organization. You will leverage your excellent judgment and discretion to support critical projects, build trust with cross-functional partners, and apply a strong understanding of business priorities to optimize scheduling and resource allocation. Your exceptional communication skills will be vital in collaborating with internal and external stakeholders, all while upholding the highest standards of confidentiality and policy adherence.
This is a contract from 7th September to 14th June 2027, offering up to £34.62 per hour – 40 hrs/week (PAYE). The shortlisted candidates will be contacted ASAP. Due to the high volume of applicants, we may be unable to reply to each applicant individually.
Key Responsibilities
- Proactively manage administrative tasks including travel arrangements, expense reports, calendar management, and facilities coordination with minimal guidance.
- Plan and organise site and location activities focused on culture, community affairs, public relations, and communications, providing strategic recommendations to leadership teams.
- Schedule, maintain, and update complex calendar events for supported executives and teams, considering time zone differences, ensuring adequate preparation time, and resolving scheduling conflicts efficiently.
- Execute comprehensive expense and budget management activities, including completing expense reports and processing invoices and purchase orders on behalf of executives.
- Coordinate extensive travel for executives and teams, managing preferences, organizing pre-travel preparations (e.g., visa and passport support), and providing on-call support for urgent requests during travel.
- Prepare for high-level meetings by ensuring appropriate room setup, equipment, and attendee lists, as well as gathering, compiling, and creating essential meeting materials.
- Plan and organize internal and external programs and events, managing all logistics from budget to venues, equipment, and entertainment, ensuring compliance with all policies.
- Contribute to and lead various internal community initiatives, process improvement projects, or executive-driven programs, delivering medium to large-scale projects from initiation through delivery with minimal guidance.
- Assess and advocate for office space needs, managing accommodation requests and liaising with internal partners, such as real estate workplace services, for space planning and allocation.

Required Qualifications
- Executive assistance experience, demonstrating a strong background in supporting high-level executives, directors, and senior leadership.
- Proven experience working within complex and global organizations.
- Proficiency in site culture leadership and fostering a positive work environment.
- Demonstrated expertise in event management, from planning to execution.
- Exceptional ability to manage meetings effectively, including preparation and follow-up.
- Extensive experience in travel management and coordination.
- Advanced understanding and strict adherence to confidentiality protocols.
- Strong core administrative skills, capable of managing multiple tasks efficiently.
- Experience in resource planning and headcount management.
- Proficiency in expense management and budget oversight.
- Excellent relationship-building skills with internal and external stakeholders.
- Proven ability to contribute to team management and collaboration.
- Superior written communication skills for various professional contexts.
- Expert-level calendar management, including complex scheduling and prioritization.
- Ability to travel periodically (approximately 4-6 times per year) within the EMEA region to support business needs.

Preferred Qualifications
- Previous experience supporting executive leadership within a large, innovative technology company is highly desirable.
- French language would be a bonus.
