Key Responsibilities

  • Act as the primary gatekeeper for executive schedules, masterfully organizing, prioritizing, and resolving conflicts across dense, fast-changing meeting schedules across multiple time zones.
  • Plan and execute seamless domestic and international travel itineraries, including flights, accommodation, ground transportation, visas, and detailed daily schedules.
  • Organize internal and external meetings, leadership offsites, departmental town halls, and team-building events, including preparing agendas, tracking action items, and managing expense reports.
  • Partner closely with cross-functional administrative teams, internal teams, and external partners to ensure smooth communication and alignment.
  • Continuously evaluate operational workflows and implement scalable systems to increase efficiency across the team.

Must-Have Qualifications

  • Solid experience as an Executive Assistant, Administrative Business Partner, or similar operational support role.
  • Demonstrated track record of managing high-volume, constantly shifting executive calendars with extreme attention to detail and composure under pressure.
  • Proven ability to navigate complex international and domestic travel logistics effortlessly.
  • Strong written and verbal communication skills with a proven track record of handling sensitive and confidential information appropriately.
  • Outstanding ability to prioritize competing tasks, anticipate executive needs, and resolve operational bottlenecks independently.
