About the Role:
The Administrative Coordinator provides general support across the Sporting Operations team, which is based both in the US and the UK, to keep the day-to-day running of the Series - correspondence, records, meetings and stakeholder queries - moving.
The role spans two distinct phases. Through the pre-launch period the emphasis is on setting up the records, templates and ways of working that the Series will run on. From the 2027 launch onwards the emphasis shifts to supporting the team through every Event across the season.
This is a broad support role, and a strong entry point into international sport.
Key Responsibilities:
- Team and administrative support
- Provide day-to-day administrative support to the Sporting Operations team, including diary coordination, meeting arrangements and travel booking.
- Prepare agendas and papers, take minutes at internal and external meetings, and track actions through to completion.
- Stakeholder support
- Maintain accurate contact records and distribution lists across the rider, owner and official base.
- Support the team in preparing stakeholder communications ahead of each Event.
- Records and reporting
- Maintain shared files, trackers and templates, and keep version control and filing in good order.
- Collate information from colleagues and partners for internal summaries and reports.
- Raise purchase orders and process invoices as necessary.
- Events
- Provide general administrative support across the Event weekend, including accreditation, guest lists and the Event office.
- Contribute to post-Event summaries, and help feed learnings into the next Event.

Skills and Experience:
Required
- Administrative or team support experience in a sporting or events environment.
- Strong organisational skills, and the ability to juggle competing priorities without dropping detail.
- Exceptional attention to detail, and accuracy with documentation and records.
- Confident with Microsoft Office, shared drives and collaboration tools.
- Clear written and verbal communication, and a professional manner with senior stakeholders.
- Discretion in handling confidential information.
Desirable
- Familiarity with equestrian sport.
- Experience of supporting a team through a launch or period of rapid growth.
