Imagine being at the heart of a busy, fast-moving Quick Service Restaurant (QSR) division, helping keep important projects on track while providing trusted support to senior leaders and stakeholders across the business.
We’re looking for an Administrative Coordinator – QSR to join us on a 6 month Fixed-Term Contract, providing high-quality administrative and project coordination support to our Managing Director – QSR and QSR Facilities Lead.
This is a varied role where no two days will be the same. You’ll help bring structure to priorities, keep meetings and actions moving, ensure information is organised and up to date, and make sure the right people have what they need at the right time.
Working across the QSR division and wider business, you’ll become a reliable point of contact for internal and external stakeholders and play an important role in keeping priority projects organised, connected and on schedule.
This is a hybrid role, requiring you to be based at our Watford Head Office 3–4 days per week.
What You Will Do In This Splendid Role
- Executive Administration – Provide proactive, reliable administrative support to the Managing Director – QSR and QSR Facilities Lead, helping them stay organised and focused on key priorities.
- Project Coordination – Maintain project plans, trackers, action logs and deadlines, following up with action owners and keeping information accurate and up to date to support effective delivery.
- Meetings & Governance – Coordinate project and operational meetings, including scheduling, agendas and papers, and ensure decisions, minutes and actions are captured and circulated promptly.
- Document & Data Management – Create and maintain reports, presentations, records, filing systems and shared documents, ensuring information is accurate, accessible and well organised.
- Supplier & Facilities Administration – Support with purchase orders, invoices, contractor documentation, site records, access arrangements and other facilities-related administration, helping ensure activity runs smoothly.
- Communications & Stakeholder Liaison – Act as a central point of contact across QSR and the wider business, coordinating requests, connecting stakeholders and ensuring actions and responses are followed through.
- Travel, Visits & Logistics – Arrange travel, site visits, workshops and project logistics, anticipating requirements and resolving practical issues along the way.
- Process & Issue Support – Manage day-to-day queries, flag potential risks or delays, maintain confidentiality and look for opportunities to improve administrative processes and ways of working.

What Makes You Splendid
You’ll be a highly organised, proactive and dependable coordinator who enjoys bringing structure to a busy environment and making sure things get done. You’ll be confident working with senior leaders, colleagues and external suppliers, with the judgement to know what needs your attention and when to escalate.
We’re looking for someone who brings:
- Strong organisation & attention to detail – Able to manage a varied workload, keep accurate and reliable records, and stay on top of multiple deadlines and priorities.
- Proactivity & ownership – Anticipates what’s needed, follows things through and takes responsibility for getting tasks and actions completed.
- Confident communication – Comfortable communicating with senior leaders, colleagues, suppliers and other stakeholders, building positive relationships and keeping people informed.
- Discretion & professionalism – Able to handle sensitive and confidential information with sound judgement and professionalism.
- Project coordination experience – Previous experience in a senior administration, executive support or project coordination role, with the ability to manage competing deadlines, actions and stakeholders.
- Collaboration – Enjoys working across teams and is comfortable building relationships across QSR and the wider business.
- Adaptability & calmness – Able to respond positively when priorities change, remain calm under pressure and find practical solutions to day-to-day challenges.
- Strong Microsoft 365 skills – Confident using Microsoft 365, including Outlook, Word, Excel and PowerPoint, with the ability to manage information and produce professional documents and reports.
- Relevant industry experience – Experience within QSR, retail, facilities or another fast-paced, multi-site environment would be desirable, but isn’t essential.
