Description
The Nicholl Fuel Oils Group is the largest Independent Oil distributor in Northern Ireland with multiple offices and depots and retail sites throughout. We are seeking an experienced Administrative Manager to lead our Card Services administration team. The successful candidate will have responsibility for card administration, stock control and reconciliation, invoicing, reporting and the day-to-day management and development of the team.
This is a varied role requiring strong organizational and people management skills, attention to detail, and the ability to work effectively with customers and colleagues across the business.

Hours: 37.5 hours per week (one hour unpaid lunch), worked within the department's operating hours 8.00am and 6.00pm Monday – Friday. Saturday morning working will also be required when operationally necessary.
Responsibilities and Duties
What you will be doing:
- Overall responsibility for all Card administration including 24/7 Fuel site stock control, reconciliation, and sales invoicing.
- Overall responsibility for all NFO depot stock control/reconciliation and assisting with any queries as they arise.
- Day-to-day monitoring 24/7 stock control, e.g., order of product, storage, handling.
- Organize and update Local accounts Master file.
- Manage local account card records and update accordingly.
- Liaising with Credit control, e.g., customer balances, credit terms, etc.
- Take ownership and resolve customer complaints in a timely and efficient manner.
- Liaising with the HR Director to ensure compliance in all relevant HR policies and procedures and identifying training and skills gaps with the team and manage performance through regular appraisals with your team.
- Assist in recruitment and train new employees if necessary.
- Training and mentoring of other team members on ledger payments allocation, e.g., Cheque, Bacs driver payment.
- Day-to-day mentoring and team support (answering ad hoc questions), addressing any coaching requirements arising within the card services team.
- Ensure the team is aware of our main competitors and their positioning in the marketplace.
- Production of weekly, monthly, quarterly site sales reports.
- Production of weekly, monthly and quarterly site stock reports.
- Production of monthly commission and bonus payment reports.

In addition to the above responsibilities and in order to meet the commitments of the company, you are expected to perform any other duties for which you are competent or trained as requested by the Directors.

Qualifications
- At least two years' supervisor experience.
- Experience of motivating, coaching, and training teams.
- Proven ability to produce reports and mentor staff.
- Strong administrative and organizational skills, with excellent attention to detail.
- Good standard of IT skills, such as email, word, excel, etc.
- Excellent customer service skills and telephone manner.
