Administrative Officer

Salary: £24,546.32 per annum

Location: Newcastle upon Tyne (North and Outer West)

Contract/Hours: Permanent / Full Time – 35 hours per week (Monday – Friday)

Closing date for applications is midnight of 27th September 26 and interviews are provisionally scheduled for w/c 5th October 26.

A bit about the role

As an Administrative Officer, you’ll play a vital part in keeping our teams running smoothly, providing essential administrative, reception, financial and meeting support. No two days are the same — you’ll be front of house on reception, manage records, process invoices, coordinate meetings and help improve systems so our teams can focus on supporting children and young people.

Your organised, proactive approach will make a real difference, ensuring everything runs efficiently and effectively. You’ll work both independently and as part of a supportive team across our North and Outer West Newcastle locations.

About the Service

Children & Family Newcastle (CFN) is Action for Children’s early help and family support service delivered across the Outer West and North localities of the city. We work from welcoming community hubs such as Gosforth Library, Galafield, Charlton Street and Fawdon, offering practical, emotional and developmental support to children, young people and families.

Our teams provide a wide range of activities and interventions — from parenting programmes and youth support to family work, community sessions and early help assessments. Everything we do is centred around building strong relationships, strengthening family resilience and helping children and young people to thrive.

The service is busy, friendly and deeply rooted in the local community. Staff work closely with partners across education, health and social care, making sure families receive joined-up, accessible support when they need it most.

What you do could make a difference

You’ll play a key part in keeping our services running smoothly every day. It’s a role with real responsibility and plenty of job satisfaction. You’ll:

  • Provide a professional, welcoming front-of-house service.
  • First point of contact for all visitors as well as members of the wider teams.
  • Organise and coordinate meetings, including taking accurate minutes.
  • Prepare, format and distribute documents and information.
  • Support managers and colleagues by managing correspondence and enquiries.
  • Maintain our information systems and help improve how we collect, extract and present data.
  • Keep accurate, up-to-date financial records, including purchase orders and invoice processing.
  • Assist in purchasing resources for groups and sessions and items for families through our funding streams.

Let’s talk about you

You’re a compassionate, motivated and highly capable administrator. Experience in social care or health is helpful, but we’re very open to transferable skills and welcome applicants from a range of backgrounds. You’ll bring:

  • A Business Administration S/NVQ Level 2, or equivalent qualifications or practical experience.
  • Strong IT skills, with confidence using Excel and other Microsoft packages, creating spreadsheets, presentations and maintaining accurate records.
  • Experience delivering a confidential, professional and well-organised administrative service.
  • The ability to liaise effectively with external partners and coordinate key activities.
  • A collaborative approach, working well within a team and guiding others when needed. Being confident in using your own initiative.
  • Clear, confident written and verbal communication skills.
  • Excellent attention to detail, along with a willingness to learn new processes and share good practice.
  • This role involves travel across the city, and there may be occasions where you’ll need to visit different sites at short notice.
