About The Role

Based in Birtley, Gateshead, this full-time, permanent Administrative & Procurement Assistant role supports a well-established company's finance function, reporting directly to the Finance Manager. The successful candidate will manage purchasing activities, project-related orders, supplier requirements and documentation in line with company procedures, alongside general office administration. Duties include answering incoming calls professionally, directing enquiries to the relevant person or department, and scanning and organising records. Strong organisational skills, accuracy and attention to detail are essential, together with confident communication and the ability to manage varied administrative and procurement tasks efficiently. The position offers a salary of £28,000 per annum, depending on experience, working full time on a permanent contract.

The administrative and procurement assistant role is to provide effective administrative and procurement support to the business, ensuring that purchasing activities, project-related orders, supplier requirements, documentation and general office administration are managed accurately, efficiently and in accordance with company procedures.

Administrative Responsibilities

  • Answer incoming telephone calls professionally and direct enquiries to the appropriate person or department.
  • Scan, organise and archive delivery notes in accordance with company procedures.
  • Regularly monitor outstanding certificates and follow up with relevant parties to ensure required documentation is received and maintained.
  • Complete meter reading submissions accurately and within required deadlines.
  • Manage stationery requirements and place orders to ensure adequate office supplies are maintained.
  • Provide general administrative support to the wider team and assist with other office requirements as necessary.

Procurement Responsibilities

  • Raise and process purchase orders for ongoing projects, ensuring orders accurately reflect project requirements and are raised within required timescales.
  • Liaise with project teams to obtain the necessary information and approvals required to support purchasing activities.
  • Process proforma invoices and online orders in accordance with company purchasing procedures.
  • Regularly review outstanding purchase orders and proactively follow up with suppliers regarding overdue orders, supporting the timely delivery of goods and services to projects.
  • Respond to and resolve purchase order queries, liaising with suppliers and internal departments as required.
  • Manage PPE ordering, ensuring requirements are identified and orders are placed in a timely manner.
  • Maintain appropriate purchasing records and ensure relevant documentation is complete and accurately recorded.
  • Develop and maintain effective working relationships with suppliers and internal stakeholders to support the smooth running of procurement activities.
  • Provide general procurement support to project teams and the wider business as required.

Candidate Requirements

  • Strong administrative, organisational and procurement skills.
  • Good attention to detail and accuracy.
  • Confident communication skills, both verbal and written.
  • Professional telephone manner.
  • Previous experience in a procurement, purchasing, procurement administration or similar role.
  • Ability to communicate effectively with suppliers, project teams and internal colleagues.
  • Proactive approach to chasing outstanding orders, deliveries and documentation.
  • Ability to prioritise and manage multiple project and administrative tasks.
  • Good computer literacy and ability to learn relevant purchasing and business systems.
  • Reliable, methodical and organised approach to work.
  • Ability to work independently and as part of a team.
  • Ability to follow company processes and procedures consistently.
  • Ability to work to deadlines and respond effectively to changing project requirements.
  • Eligible to work permanently in the UK.
  • Full driving licence
