About Nimbi
Nimbi is a next-gen women's razor brand transforming shaving into a skin-first sustainable ritual, stocked with retail partners including Boots, Ulta Beauty, Erewhon, and Revolve. We're a small, fast-moving team building a category-leading brand. This role sits close to the founders and touches almost every part of the business.
The Role
We're looking for a highly organised, proactive Operations & Projects Coordinator to keep the day-to-day machinery of Nimbi running smoothly. You'll split your time across customer experience, new product development coordination, office operations, and supporting the founders directly. It's a varied role suited to someone who likes bringing structure and clarity to fast-moving and ambiguous environments, who thrives on building process where none exists yet, enjoys problem-solving, and is comfortable moving between detailed admin work and cross-functional project coordination.
What You'll Do
Customer Service
- Own the customer service inbox: respond to queries, resolve issues, and escalate where needed
- Track recurring themes and feed insights back to the team (product, delivery, packaging issues etc.)
- Maintain response time and quality standards
- Own customer DMs across Nimbi's organic social channels, keeping tone and response times consistent with the inbox

NPD Project Management
- Coordinate new product development timelines across formulation, packaging, regulatory, and manufacturing partners
- Track milestones, chase dependencies, and flag risks to launch dates
- Maintain a clear NPD roadmap and keep stakeholders updated on status
Office Administration
- Manage office operations at our office - supplies, deliveries, vendor relationships, ad hoc admin
- Support with invoicing, expenses, and basic supplier coordination
- Keep operational documents, processes, and records up to date
- Maintain the marketing stock cupboard, tracking stock levels and reordering as needed
Founders' Calendar Management & General Assistance
- Manage diaries for the founders, prioritising and scheduling meetings
- Coordinate logistics for external meetings, travel, and events
- Act as a gatekeeper, using judgement on what needs founder time vs. what can be handled directly

About You
- 2+ years' experience in an operations, executive assistant, or coordinator role - ideally at a startup or fast-growing brand
- Excellent organisational skills and high attention to detail
- Comfortable managing multiple workstreams and reprioritising as things shift
- Confident communicator, happy liaising with customers, suppliers, and partners
- A self-starter who takes ownership rather than waiting to be told what to do
- Experience with Gmail/Google Workspace tools; project management tool experience a plus
