Administrative Specialist – Central Invoicing
Location: Raunds
Mon-Fri: 9am-5pm

We are looking for an Administrative Specialist to join our Finance & Administration team in our Contract Logistics Division. In this role, you will play an important part in supporting our operational sites through accurate invoicing, purchase order management, financial administration, and process coordination. Your work will help ensure financial accuracy, operational efficiency, and excellent service for both internal and external stakeholders.
This is an excellent opportunity for someone who enjoys working with data, administration, and finance processes while being part of a collaborative and supportive team. What will you be doing?
- Generate and validate customer invoices using operational and financial data.
- Ensure invoice accuracy, integrity, and timely completion.
- Raise and manage purchase orders while working closely with operational sites.
- Support purchase order reconciliation activities and maintain accurate records.
- Manage transport cost matching activities and investigate discrepancies where required.
- Process vendor invoices within agreed service levels.
- Monitor and manage shared inbox communications, ensuring timely responses.
- Order site consumables and maintain administration records.
- Support colleagues through knowledge sharing and cross-training activities.
- Maintain compliance with company policies, financial controls, and operational procedures.
- Contribute ideas that improve efficiency, accuracy, and service delivery.

About You
- Previous experience in an administrative role.
- Strong organisational skills and ability to manage multiple priorities.
- Excellent attention to detail and commitment to accuracy.
- Effective communication skills with the ability to build relationships across multiple teams.
- A positive, proactive, and customer-focused approach.
- Good Microsoft Office skills, particularly Excel and Outlook.
- Ability to work independently while also contributing to team success.
It would be great if you also have:
- Experience working with invoicing processes.
- Knowledge of KPI reporting.
- Experience using CargoWise, CargoWrite, CargoLink, or similar logistics systems.
- Experience working in a logistics, supply chain, or transport environment.
