Admin Assistant

Location: Dundee, DD2

Pay Rate: £14.00 per hour

Hours: 35 hours per week, Monday to Friday, 9:00am to 5:00pm (1-hour unpaid lunch)

Contract: Temporary for 6 months, with the opportunity to become permanent


Admin Assistant - Dundee

Our client is a busy, well-established automotive business with a strong reputation for delivering excellent service to customers. They are currently seeking an organised and customer-focused Admin Assistant to join their team on an initial 6-month temporary contract, with the potential for a permanent position.

This is an excellent opportunity for an experienced administrator who enjoys a varied role, has strong communication skills and can confidently manage multiple tasks within a busy office environment.


The Role

As Admin Assistant, you will play a key role in supporting the day-to-day operations of the business, ensuring customers receive a professional service while maintaining accurate administrative records.


Key Responsibilities

  • Answer incoming telephone calls and respond to customer enquiries in a professional manner.
  • Welcome customers and provide excellent front-of-house service.
  • Schedule appointments and manage daily diaries.
  • Provide customers with updates regarding bookings, quotations and completion times.
  • Maintain accurate customer records, job sheets and invoices.
  • Process payments and assist with basic cash handling duties.
  • Support the ordering of parts and monitor delivery schedules.
  • Maintain organised filing and administrative systems.
  • Liaise with suppliers, insurers and external partners.
  • Support management with general administrative and office duties.
  • Ensure reception and office areas remain organised and professional.
  • Carry out any additional duties required to support the smooth running of the business.

Candidate Requirements

  • Previous experience in an administrative role.
  • Excellent telephone manner and customer service skills.
  • Strong attention to detail and accuracy.
  • Ability to prioritise workload effectively in a fast-paced environment.
  • Proactive approach with the ability to use initiative.
  • Good organisational and time management skills.
  • Strong IT skills, including Microsoft Office applications.
  • Good verbal and written communication skills.
  • Reliable and professional approach to work.

Desirable Experience

  • Previous garage, workshop or automotive administration experience.
  • Reception or front-of-house experience.
  • Experience managing bookings and appointments.
  • Experience maintaining customer records and processing invoices.
