Job Introduction

Do you have a passion for organisation, communication, and making a positive impact? We're looking for a Team Administrator to join our dedicated team supporting the Slough Child and Family Wellbeing Service, providing accurate and effective administration, hospitality, and support across all functions of the service.

As Team Administrator, you'll work collaboratively with the Health Visiting and School Nursing teams, offering general, non-clinical advice to service users, parents, and other professionals, and handling all enquiries on behalf of the wider team. You'll be responsible for accurate record keeping and data entry, as well as providing clerical support to the clinical team.

This is a varied role covering everything from appointment booking and correspondence to record maintenance, referral allocation, and front-line telephone triage.

Job Responsibilities

As Team Administrator you will:

  • Send out appointment invitations and reminders, and book, re-arrange, or cancel appointments on behalf of the Health Visiting and School Nursing teams
  • Action routine correspondence, prepare acknowledgements, and draft response letters in a timely manner
  • Maintain safe and efficient filing systems, ensuring the security and confidentiality of records and data protection
  • Contribute to Health Visiting and School Nursing records where appropriate, maintaining accurate and contemporaneous documentation
  • Monitor a single point of access inbox, ensuring important and sensitive information reaches the right person in a timely manner
  • Allocate incoming referrals, new birth visits, and transfer-ins to members of the SCFWS team, and manage, action, and record work allocated to the Public Health Practitioner on duty
  • Provide administrative support across all online systems, including EMIS and Microsoft Office
  • Answer and triage all incoming calls to the Public Health Nursing 4 Slough service, dealing with enquiries with tact, diplomacy, sensitivity, and confidentiality
  • Assist with office maintenance, stationery ordering, and PPE supplies, plus other ad hoc duties as directed by the Administration Manager
  • Order equipment, stores, and consumables in line with company procedures, and coordinate stock control

The Ideal Candidate

Our ideal candidate has:

  • Excellent numeracy and literacy
  • Competent IT skills including Word, Outlook, and Excel
  • Good interpersonal and organizational skills
  • Accuracy and attention to detail
  • Ability to prioritize own workload and manage time effectively
  • Ability to work independently on own initiative
  • Excellent telephone manner
  • Experience working with confidential and sensitive information and data
  • Previous general office experience, ideally using a clinical system
  • Understanding of patient needs and the NHS
  • EMIS experience desirable
