Job Title: Administrator
Salary: £27,900 per annum
Location: Bupa Health Centre, Cardiff
Fairway House, Paramount Business Park, Pascal Close, St Mellons, Cardiff, CF3 0LW
Permanent/fixed term contract: Permanent
Shift pattern: Full time, 40 hours per week, Monday to Friday. Rotating shifts of 7:00am to 3:30pm, 8:00am to 4:30pm, or 9:30am to 6:00pm.

About the Role
This is more than an administration role. You'll be one of the first people our customers meet when they visit the centre, helping to create a welcoming and professional experience from arrival through to checkout. You'll support the smooth running of the clinic, work closely with healthcare professionals, and make sure customers receive the information and support they need throughout their healthcare journey.

Key Responsibilities
- Welcome customers and provide a friendly, professional experience throughout their visit.
- Answer customer enquiries by phone and email, providing accurate and timely information.
- Manage bookings, appointment changes, payments, invoices, charges and credit notes using clinic systems.
- Prepare appointment packs, clinical files, consent forms and other customer documentation.
- Process customer results, scanning and document uploads within agreed service levels.
- Help make sure reports are issued within required timescales, including managing abnormal result processes.
- Support mammogram bookings and musculoskeletal referral administration.
- Maintain accurate customer records and administrative documentation.
- Process incoming and outgoing post and prepare business correspondence.
- Monitor stock levels and help maintain a safe, professional and well-presented clinic environment.
- Support the collection of centre data and operational metrics.
- Work closely with doctors, health advisers and colleagues to help the centre run efficiently.
- Follow quality, clinical governance, compliance and health and safety standards at all times.

What We're Looking For
We're looking for someone who enjoys working in a busy customer-focused environment and can balance multiple tasks while maintaining excellent attention to detail.
You'll bring:
- GCSEs or equivalent qualifications.
- Good Microsoft Office skills.
- Strong written and verbal communication skills.
- Experience working as part of a team.
- Excellent organisational and prioritisation skills.
- A proactive approach to solving problems.
- High levels of accuracy and attention to detail.
- Professional email writing and communication skills.
- A reliable and supportive approach to teamwork.
- The ability to build positive relationships with customers and colleagues.
It would be helpful if you also have:
- Audio typing skills.
- Knowledge of medical terminology.
