Full UK driving licence required for occasional travel to support senior management.
An exciting opportunity has arisen for an Administrator to join the VolkerEnergy Business Unit. In this role, you will be responsible for providing accurate reporting, effective business administration, and operational coordination support.
The role will be responsible for developing and maintaining Power BI and Excel reports, producing management information and board reporting, administering expenses and travel arrangements, and coordinating plant and PPE requirements.
The postholder will play an important role in supporting business performance by transforming data into meaningful insights, ensuring accurate business information is available to stakeholders, and providing responsive administrative support that enables teams to operate efficiently and effectively.
Key Responsibilities
Reporting & Business Information
- Produce, maintain, and distribute regular business reports for operational and leadership teams.
- Create, review, and analyse Power BI reports to identify trends, risks, and opportunities.
- Summarise complex data into clear and concise management information.
- Develop and maintain Excel-based reports, trackers, and dashboards.
- Validate data accuracy and investigate anomalies.
- Support the preparation of board reports, business reviews, and leadership presentations.
- Assist stakeholders in interpreting data and reporting outputs to support decision-making.
Financial Administration
- Process, monitor, and track mileage and expense claims in accordance with company procedures.
- Provide guidance to employees regarding expenses and mileage submissions.
- Maintain accurate records and supporting documentation.
- Support financial reporting and administrative processes where required.

Travel & Logistics Coordination
- Arrange travel, accommodation, and associated logistics for employees and managers.
- Coordinate rail, hotel, and other travel bookings in line with company policies.
- Manage travel itineraries and booking amendments.
- Ensure travel requirements are delivered efficiently and cost-effectively.
Plant, PPE & Asset Administration
- Coordinate requests for plant, equipment, and PPE.
- Maintain records relating to PPE allocation and plant requirements.
- Monitor stock levels and support replenishment activities.
- Liaise with suppliers and internal teams to ensure timely provision of equipment.
- Support compliance requirements relating to plant and PPE records.
Administrative & Operational Support
- Provide administrative support to managers and project teams.
- Manage meeting room bookings, ensuring rooms are appropriately scheduled.
- Manage shared inboxes, correspondence, and general enquiries.
- Maintain business records, databases, and filing systems.
- Prepare documents, reports, meeting packs, and presentations.
- Support ad hoc business activities and operational requirements.
Meeting & Stakeholder Coordination
- Organise meetings, workshops, and team events.
- Coordinate meeting logistics, agendas, and supporting documentation.
- Produce meeting minutes and action trackers where required.
- Build effective working relationships with internal and external stakeholders.
About you
- Previous administration/secretary role experience
- Articulate, personable, professional, presentable, and supportive
- Computer literate: including Excel, Word & PowerPoint
- Excellent communication and organisational skills
- An enthusiastic team player
- UK Drivers License is required as you may need to attend meetings outside of Farringdon to support senior management.
