Experienced Sales Administrator – Estate Agency
Location: Hampstead, London, NW3
Working pattern: Office-based
Hours: Monday to Friday, 9:00am–6:00pm, plus one Saturday in every three from 10:00am–2:00pm
We are recruiting an experienced Sales Administrator to join a successful and well-established estate agency in Hampstead.
This is not a junior or entry-level position. The successful candidate will have previous experience in estate agency, property administration or a similarly fast-paced sales environment and will be confident supporting a busy Sales Manager and team of Sales Negotiators.
Previous experience using Reapit would be a significant advantage.
The Role
You will play a central role in the smooth running of the sales office, ensuring property information, documentation, client records and marketing materials are managed accurately and efficiently.
Your responsibilities will include:
- Supporting the Sales Manager and Sales Negotiators with day-to-day administration
- Managing and distributing online enquiries
- Using Reapit to maintain property details, applicant records and client information
- Preparing valuation letters, instruction letters and other sales documentation
- Producing and updating property particulars, property lists and window cards
- Uploading and maintaining property information across the company website and property portals
- Organising photography, floorplans, EPCs and relevant statutory documentation
- Preparing, proofreading and coordinating property advertisements
- Conducting Anti-Money Laundering checks and maintaining accurate compliance records
- Preparing statements of account, VAT invoices and recharge invoices
- Responding professionally to telephone, email and walk-in enquiries
- Maintaining property files, key systems, banking and petty cash records
- Ensuring the reception area is welcoming and professionally presented
- Managing stationery, post and wider office administration

About You
You will be an experienced, polished and highly organised administrator who understands the pace and attention to detail required within a busy property sales office.

You will ideally have:
- Previous estate agency or property administration experience
- Experience using Reapit, which would be highly beneficial
- Excellent written English, typing, grammar and proofreading skills
- Strong knowledge of Outlook, Word and Excel
- Experience preparing property particulars and sales documentation
- An understanding of AML procedures and property compliance requirements
- The ability to manage competing priorities and meet deadlines
- A professional telephone manner and strong client-facing skills
- Excellent attention to detail and the confidence to use your initiative
- A collaborative, dependable and proactive approach
