Overview

Balltec designs, manufactures and tests high integrity mechanical connectors for critical applications in the global renewable energy and oil and gas sectors. The engineering team creates technical solutions for the transfer of load in moorings, lifting components and subsea cable connections.

Job Purpose

The Administrator will provide a broad range of administrative support across the business, with a particular focus on supporting the Sales and Procurement functions.

The role will involve working with a variety of departments, suppliers, customers and internal stakeholders to ensure administrative processes are completed accurately, efficiently and on time. The successful candidate will be organised, proactive and adaptable, with the ability to manage competing priorities and provide support wherever required.

Key Responsibilities

Sales & Procurement Support

  • Provide day-to-day administrative support to the Sales and Procurement teams.
  • Request and obtain supplier quotations for projects and customer enquiries.
  • Prepare cost sheets and supporting information for the Sales team.
  • Raise and maintain Purchase Orders for projects, workshop requirements and other business needs.
  • Maintain accurate parts lists and update order information as required.
  • Assist with the preparation and submission of customer quotations.
  • Support the Sales team throughout the quotation lifecycle, including tracking enquiries, follow-up actions and customer responses.
  • Maintain accurate records of sales enquiries, quotations and related information within Salesforce and other company systems.
  • Liaise with customers, suppliers and internal departments to obtain and provide information.
  • Respond to customer and supplier queries promptly and professionally.
  • Follow up quotations and enquiries to obtain updates, additional information and status changes.
  • Assist with risk screening of new and existing customers and suppliers.
  • Investigate and assist with resolving supplier and invoice queries.
  • Maintain positive and professional relationships with customers and suppliers.
  • Support the maintenance of approved supplier information and databases.
  • Ensure relevant documentation and records are maintained accurately and in accordance with company processes.

General Administration

  • Provide administrative support across the business as required.
  • Support the administration team with shared tasks and cover during periods of absence.
  • Identify opportunities to improve administrative processes and efficiency.

General Duties

Education & Experience

Required Skills

  • 5 GCSEs at grades A* – C or equivalent, including English and Maths.
  • Strong organisational and administrative skills with excellent attention to detail.
  • Good written and verbal communication skills.
  • Good working knowledge of Microsoft Office, particularly Word and Excel.
  • Good computer literacy and the ability to learn and use new systems effectively.
  • Ability to maintain accurate records and manage information effectively.
  • Ability to prioritise workload and manage competing deadlines.
  • Ability to work independently while also contributing effectively as part of a team.
  • Proactive, flexible and willing to support different areas of the business.
  • Right to work in the UK.

Desirable Skills & Experience:

  • Previous Sales Administration or Sales Support experience.
  • Previous Procurement or Purchasing Administration experience.
  • Experience using CRM, ERP, PLM or other business management systems.
  • Experience working in an engineering, manufacturing or production environment.
  • Experience dealing with customers and/or suppliers.
  • Experience preparing quotations, purchase orders or cost information.
  • Full UK driving licence.
