Reporting to: Chief Executive

Place of Work: Home with occasional meetings across Leeds

Salary: £14 per hour (plus holiday allowance uplift of £1.78 per hour)
Actual pay: £15.78 per hour

Hours: 8 hours a week, term time only (39 weeks a year). Hours can be worked flexibly from home, although some availability is needed across the working week rather than all hours being completed on one day. We are also open to requests from candidates who would prefer to work across the full year (52 weeks).

About SNAPS

SNAPS is a Leeds based charity that supports children with additional needs and their families. We deliver physiotherapy (hydrotherapy and rebound) swimming lessons, football sessions, cookery classes, dance groups and so much more. We are there for the whole family.

We are a medium sized, local charity that is run by a group of passionate and committed individuals who strive to deliver excellent services and grow our provision.

Role Summary

This is a flexible, homebased role for someone who enjoys keeping things organised, communicating clearly and helping a small charity run smoothly. You will play an important part in making sure SNAPS can deliver high-quality services for children with additional needs and their families across Leeds.

The Right Candidate

We are looking for someone who loves getting things done! An individual who finds joy in getting processes in order and supporting a team in a wide variety of administration tasks. They must be a self-starter who can work effectively at home, whilst also engaging and communicating with a variety of team members at a distance as well as being a welcoming point of contact for enquiries from families and organisations.

  • Holiday Uplift in Pay: As this role is term time only, you will receive a holiday pay uplift as part of your pay. This means that you should not normally take time off during school term time, apart from exceptional circumstances when this has been agreed in advance with your line manager. Any time taken off in term time will be unpaid unless you have swapped weeks for working some of the allotted holiday weeks. Holiday should therefore be taken during school holidays wherever possible.
  • Supportive & Flexible Employer: We have made this role term time only (39 weeks a year but are open to requests for candidates to work the full year - 52 weeks) to make this role more accessible to parent/carers who have caring responsibilities. We understand that work is just part of someone’s week and that family comes first.   • Homebased, Flexible Hours: This role can work around your other commitments in the week, but we would like some cover throughout the week rather than all in one day.
  • Being Part of a Small but Committed Team: We are a team of 11 people who support each other to do the best we can for the organisation and the families we support.
  • Making a Difference to Children with Additional Needs and Their Families: SNAPS is an incredible Leeds based charity that helps children with additional needs and their families thrive. This role is crucial in ensuring the smooth running of the charity to allow us to deliver those services effectively.

Job Purpose

To support the day-to-day running of SNAPS by providing administrative support across the organisation.

Main Duties and Responsibilities

  • To undertake administrative tasks, ensuring the rest of the staff team has adequate support to work efficiently
  • To manage initial general enquiries to SNAPS
  • To oversee/check the automated import of new referrals onto the SNAPS’ database
  • To research and manage external providers for administration delivery, such as mobile phone contracts, printing, banner production etc.
  • To manage the administration side of recruitment of staff, including DBS application forms
  • To produce documents as requested by the SNAPS team
  • To send communications to the SNAPS team and wider audiences as requested by the team
  • To manage information held by SNAPS to ensure it is accurate and up to date

General Responsibilities

  • To attend, contribute and manage action follow ups at monthly SNAPS’ employee meetings and other meetings as required
  • To attend and contribute to management, performance review and employee training, and any other training identified as appropriate for the role
  • To ensure that all responsibilities and activities within this post are consistent with the terms and spirit of SNAPS’ operational and employment policies and procedures, and other statutory policies
  • To adhere to the principles of the UK General Data Protection Regulation and ensure there is an appropriate level of confidentiality and security of SNAPS’ work
  • To occasionally work unsociable hours, for example attending evening or weekend meetings
  • The nature of the post will require flexibility in undertaking the role and will require the post holder to undertake other duties that are compatible with the nature and grade of this post

Requirements

  • Excellent written and verbal communication skills
  • Excellent organisational skills
  • Able to work with a wide range of individuals
  • Ability to use Word, Excel and Outlook effectively
  • Co-Pilot will also be available to the post holder with support and training on how to use this AI software
  • Must be able to multitask and work well under pressure
  • Must be able to work independently, managing their own workload and priorities
  • Good team player
