Location: The Portobello Clinic
Hours: Full-time, 37.5 hours per week
Schedule: Monday to Friday
Reports to: Practice Manager
Type: Permanent, Salaried Position
Salary: £30,484 - £32,755, depending on experience
We're looking for a Practice Co-ordinator to join our Primary Care Team based at The Portabello Clinic in Notting Hill.
The Portabello Clinic is one of London's most prestigious GP clinics and it cares for a wide range of patients from all over the world, many of them well known VIP's. The practice remains traditional at heart.
This is a very exciting role as you will work closely with a GP to support the care for their patients. You’ll be responsible for ensuring the continued provision of the highest quality of secretarial and administrative support in Primary Care. The team is friendly and you will enjoy working in our prestigious private clinic.
You will have a calm, patient and polite telephone manner and you will have the ability to explain sometimes complicated processes to our patients. The role is interesting and challenging, you will be properly trained and supported working onsite in a small and friendly team. Good computer skills are important and experience in healthcare in a similar role will be an advantage.

A Practice Co-ordinator plays a crucial role in ensuring the smooth and efficient operation of the practice. Their duties encompass a wide range of administrative, clerical, and organisational tasks. Here are some of the key responsibilities:

- Working on reception 2 days per week and covering other days as required
- Handling patient registrations and updating patient records.
- Managing patient inquiries and providing information about services.
- Preparing and processing medical documents and reports.
- Managing patient billing, invoicing, and payments.
- Medical PA Support: Back-up and support to the medical PA’s within The Portobello Clinic
- Cross department support when required to cover for annual leave
- Processing insurance claims and liaising with insurance companies.
- Coordinating referrals to specialists and other healthcare providers.
- Assisting doctors and nurses, or medical secretaries with administrative tasks as needed.
What You’ll Bring:
- Strong communication and relationship management skills.
- Excellent organisational and time-management skills with the ability to manage multiple tasks under pressure.
- Competent in working independently and taking initiative.
- Strong record-keeping and data management abilities.
- Familiarity with GDPR requirements and handling confidential information.
- Proficient in typing, computer literacy
- Excellent telephone manner and ability to engage with clients professionally.
- Experience in administration and working autonomously.
- Familiarity with clinical systems (EMIS) is an advantage.
- A strong understanding of medical terminology and the private healthcare sector.
- Ability to engage in productive conversations and build relationships across diverse client groups, including multinational clientele.
