💼 Full-Time | 12 - Month Fixed Contract - Maternity Cover | Onsite

Company Description

MACC Developments Ltd is the wholly owned trading arm of Machrihanish Airbase Community Company (MACC), a not-for-profit charity run by volunteers and sole owners of MACC Business Park. Situated on a 1,000‑acre former RAF base on the Kintyre peninsula, MACC Business Park provides a distinctive environment for business growth. Home to more than 30 diverse organisations - including those in the whisky, aerospace, engineering, and renewables sectors - the site offers extensive commercial, industrial, and office accommodation. The estate also features a 10,000‑ft runway, a private water supply, a 250‑kW solar farm, and significant development land, all contributing to MACC’s mission to deliver long‑term economic and social benefit for the local community.

Role Description

The Administrator is a full-time, on-site role based at MACC Business Park in Machrihanish. As our Administrator, you will be the first point of contact of our office. You will manage day-to-day functions at MACC Business Park, supporting both office and maintenance staff to deliver an exceptional service to our current and future tenants.

Key Responsibilities:

  • Tenant & Visitor Relations: Act as primary contact for face-to-face, email, and phone enquiries; liaise with tenants regarding property and site operational issues.
  • Financial Support: Process & raise invoices on our accounting software. Prepare bank payments for approval, ensuring all transactions are reconciled correctly once processed.
  • Procurement Support: Assist with procurement by; obtaining quotes, preparing cost comparisons, issuing purchase orders and checking invoices match their corresponding purchase orders.
  • Lease/License renewal & liaison: Support the Assistant Manager to ensure that all tenants leases are correct and up to date, renewing when necessary.
  • Onsite Operations: Assist the office and maintenance team to maintain up to date Health & Safety records and equipment maintenance logs.
  • Marketing & Events: Assist with marketing business assets and activities; help plan, organise, and deliver dynamic onsite events.

Qualifications & Skills

  • Strong administrative and organisational skills, including document management, records maintenance, and scheduling.
  • Proficiency in the Microsoft Office suite.
  • Strong basic financial skills and attention to details required with experience in bookkeeping systems being advantageous.
  • Effective communication and interpersonal skills to interact with tenants, visitors, colleagues, and external partners in a professional manner.
  • Possess problem-solving abilities and a customer-focused mindset to support day-to-day site operations and event coordination.
  • Ability to work on site in Machrihanish, manage multiple tasks, and maintain confidentiality and compliance with organisational policies.
