Stafford & Cannock League of Hospital Friends is looking for an organised, approachable and dependable Administrator to provide clerical and administrative support across the three pillars of our organisation: housing services, our charity activities and catering outlets.

This is a varied role in which no two days are the same. You will provide high-quality administrative support while communicating with customers, volunteers, colleagues, contractors, suppliers and partner agencies. Excellent customer care, confidentiality and attention to detail will be at the heart of your work.

Key responsibilities

  • Provide reception support and respond to telephone, email and face-to-face enquiries.
  • Prepare letters, reports, newsletters and other documents.
  • Manage post, filing, scanning, record keeping and general office administration.
  • Maintain accurate customer, property, repairs and contractor records.
  • Use our Housing Management System, CHICS, to update repairs, inventories and invoices.
  • Liaise with customers and contractors to arrange repairs and safety checks.
  • Prepare property and customer files and support weekly referral meetings.
  • Assist the housing and maintenance teams with property set-up and purchasing.
  • Provide administrative support to the Finance Department, including banking, invoice coding, credit card reconciliation and spreadsheet preparation.
  • Update catering staff timesheets on SharePoint.
  • Support the Volunteer Coordinator and send thank-you letters for donations.
  • Act as secretary to the Marketing and Fundraising Working Groups.
  • Help coordinate fundraising activities and maintain accurate donation records.
  • Produce newsletters for customers and volunteers.
  • Gather weekly news and stories to support the organisation’s social media activity.
  • Assist with data collection for audits, service monitoring and performance reporting.
  • Arrange meetings, book venues and order office supplies.

About you

We are looking for someone who:

  • Has strong administrative and organisational skills.
  • Communicates confidently and professionally with a wide range of people.
  • Provides a welcoming and helpful service to customers and visitors.
  • Can manage competing priorities and work accurately to deadlines.
  • Has good IT skills, including experience using Microsoft Word, Excel, email and electronic record-keeping systems.
  • Understands the importance of confidentiality and accurate record keeping.
  • Works well independently and as part of a team.
  • Is willing to learn new systems and undertake essential training.
  • Can identify concerns and communicate them promptly to the appropriate manager.
  • Has a flexible and positive approach to a varied workload.

Experience of housing administration, finance administration, SharePoint, Sage or a housing management system would be helpful but is not essential where the applicant can demonstrate relevant transferable skills.
