EarKart UK | United Kingdom 💼 Full-time | Permanent 💷 £26,500 - 29,500 per year, depending on experience 📍 Hybrid | UK-based 🕘 Monday–Friday | 40 hours per week
About EarKart UK
EarKart UK is a growing UK audiology provider delivering domiciliary and clinic-based hearing care across the country.
We support patients with services including ear-wax removal, hearing assessments, hearing aid trials and fittings, and ongoing hearing care — with a strong focus on making high-quality care accessible, convenient and patient-centred.
We’re looking for an Audiology Operations Administrator to join our growing team and help ensure every patient has a smooth experience from their first enquiry through to their appointment and follow-up care.
Please note: This position does not offer visa sponsorship. Candidates must already have the right to work in the UK.
👂 About the Role
You’ll play an important part in coordinating our day-to-day operations, supporting our audiologists and ensuring patients receive clear, professional and compassionate communication.
Your Responsibilities Will Include:
📞 Patient Communication
- Respond to enquiries received through Instagram, Facebook, our website, telephone and email.
- Make outbound calls to patients who have expressed an interest in our services.
- Follow up enquiries through WhatsApp, SMS and email.
- Provide clear information about our services, appointments and preparation requirements.
- Maintain a warm and professional communication style at all times.

📅 Appointment Coordination
- Book ear-wax removal, hearing assessments, hearing aid trials, fittings and follow-up appointments.
- Coordinate appointments around audiologist availability.
- Send confirmations and reminders.
- Ensure bookings and patient information are accurately recorded.
🗂️ Clinical Administration & Operations
- Maintain accurate patient and administrative records.
- Prepare daily schedules and patient lists for audiologists.
- Assist with non-clinical documentation, referral tracking, stock system and follow-up tasks.
- Support the wider team with day-to-day operational activities.
- Maintain strict confidentiality and follow UK GDPR and data protection requirements.
🌟 What We’re Looking For
We’re looking for someone who is:
- Friendly, professional and confident speaking with patients.
- An excellent communicator, both verbally and in writing.
- Highly organised with strong attention to detail.
- Comfortable managing multiple enquiries and prioritising tasks.
- Confident using digital systems and administrative software.
- Reliable, proactive and able to work independently.
- Comfortable working alongside clinicians and supporting patients.

Previous experience in healthcare administration, audiology, patient coordination or clinical support would be an advantage, but is not essential.
Experience with CRM systems, booking platforms or patient-record systems would also be beneficial.
