- Location: Credenhill, HR4 7BZ
- Working Hours: 40 hours per week, Monday to Friday, 8:00am–4:30pm

Are you an organised, proactive administrator who enjoys keeping things running smoothly? Do you have a keen eye for detail, strong IT skills and the confidence to work with a wide range of people?
VIVO is looking for a motivated Administrator to join our small, close-knit operational team. As the only dedicated Administrator within a team of three, working alongside an Operations Manager and Site Manager, this is a fantastic opportunity to become a key part of the team and make a real impact on the day-to-day running of the site.
A Varied Role with Real Responsibility
This is an all-round administration role where no two days will necessarily be the same. You’ll provide essential support across the team, helping to keep information accurate, records organised and operations running efficiently.
- Key Responsibilities:
- Archiving and filing, ensuring both electronic and hard-copy records are maintained accurately and in line with VIVO processes.
- Providing general administrative support across the site, preparing and maintaining reports, updating systems and assisting the management team with a range of day-to-day tasks.
- Supporting meetings, including arranging suitable facilities, coordinating access where required, recording attendance and taking accurate minutes and maintaining action logs.

The role will involve working with systems including Microsoft Excel, Word, and potentially Maximo, with training available where required. You’ll help maintain accurate data and records, support the helpdesk with information requests and assist with customer queries and complaints.
As the sole Administrator within the team, this role is ideal for someone who enjoys variety and takes pride in being the person colleagues can rely on. You’ll need to be organised, approachable, and able to manage competing priorities while maintaining a high standard of accuracy.
You’ll work closely with the Operations Manager, Site Manager, and wider VIVO team, as well as Defence Infrastructure Organisation representatives, customers, and supply chain partners. Strong communication skills and the confidence to build positive working relationships are essential.
What We’re Looking For
We’re looking for someone with previous experience in an administrative role, alongside good IT skills and confidence using Microsoft Office, particularly Excel and Word.
- Experience using Maximo would be advantageous, as would formal Microsoft Office training or an Office Health & Safety qualification. However, a willingness to learn and undertake training is equally important.
- Above all, we’re looking for someone who is proactive, dependable, and able to work independently. The successful candidate will have excellent attention to detail, strong organisational skills, and a positive, can-do attitude.
