About At Last Events

At Last Events is a leading supplier of premium Christmas decorations, festive displays, and seasonal installations for commercial, corporate, and public spaces across the UK.

We provide a complete Christmas decoration service, from initial design and procurement through to manufacture, installation, project management, and post-season removal. Our clients include major retail, hospitality, corporate, and public-sector organisations.

As we approach our busiest period of the year, we are looking for an efficient, organised, and reliable Administrator to join our team and provide essential administrative support to our Sales and Installation Departments.

The Role

This is a varied and fast-paced administrative position, working closely with our Operations Director and supporting the wider sales, project management, and installation teams.

The successful candidate will play an important role in ensuring that our projects are properly organised, documented, and ready for delivery and installation.

You will need to be highly organised, able to work to deadlines, and comfortable managing multiple tasks at the same time. During our peak Christmas season, the role can become extremely busy, so the ability to remain calm, prioritise workloads, and maintain a high level of accuracy is essential.

Key Responsibilities

Your responsibilities will include, but are not limited to:

  • Applying for and managing site access, work permits, and installation permits
  • Preparing and completing Health & Safety documentation
  • Assisting with RAMS and installation paperwork
  • Preparing and maintaining sales and project job sheets
  • Producing and managing installation documentation and site information
  • Ensuring installation teams have the correct paperwork and information before attending site
  • Ordering consumables, materials, and operational requirements
  • Ordering and coordinating fleet and vehicle requirements
  • Assisting with the preparation of project and installation schedules
  • Raising sales invoices and other financial administration
  • Maintaining accurate records and filing systems
  • Liaising with suppliers, clients, contractors, and internal departments
  • Providing general administrative support to the Operations Director and project teams
  • Assisting with other operational and administrative tasks as required

What We Are Looking For

We are looking for someone who is:

  • Highly organised and able to manage multiple priorities
  • Efficient and accurate, with excellent attention to detail
  • Reliable and able to take responsibility for completing tasks
  • Confident communicating with colleagues, suppliers, and clients
  • Comfortable working in a fast-paced environment
  • Able to work independently while also being part of a wider team
  • Competent using Microsoft Office, particularly Outlook, Word, and Excel
  • Confident dealing with paperwork, spreadsheets, and administration
  • Flexible and willing to support the business during our busiest periods
  • Ideally experienced in an administrative, operational, sales support, construction, events, or project environment

Previous experience within the events, construction, installation, facilities, or project management sectors would be advantageous, although it is not essential. The most important qualities are organisation, reliability, attention to detail, and a willingness to get involved.

Working Hours

The role is primarily Monday to Friday, working onsite from our Hutton, Essex office. Unfortunately, we cannot offer any remote working for this role.

As November and December are our busiest trading months, additional or adjusted hours may occasionally be required to support the operational demands of the business.

This is a seasonal peak period, and the successful candidate must be prepared to work flexibly when required.
