Role Summary
Reporting to the Director of Legal Services, you will provide comprehensive administrative support to the wider Legal Services team. The role will be based at our City Centre Campus.
You will contribute to the smooth day-to-day running of Legal Services, including monitoring and triaging the team's shared inbox, opening and maintaining files on the Legal Services case management system, liaising with internal and external stakeholders as required, and providing an efficient and professional administrative service.
While the role is based within Legal Services, it is not a legal specific role. This is a dedicated administration role and would suit someone who is looking to establish and develop a long-term career in administration and professional services.
The role offers the opportunity to develop a long-term career in administration, build knowledge and expertise within a specialist University function, and contribute to the continuous improvement of systems and processes.
This role is not intended to be a pathway into a legal support or qualified legal role and will not count towards any qualifying legal experience.
Key Responsibilities
The successful candidate will provide comprehensive administrative support to the Legal Services team. This will include monitoring and managing the team's shared email inbox, triaging correspondence, forwarding emails to the appropriate members of the team and responding to enquiries where appropriate.
You will be a key user of the team's legal case management system. This will range from opening new files, saving emails and correspondence for members of the legal team where required, maintaining accurate and up-to-date records, and supporting the effective operation of the system.

You will also provide high-level administrative support to the Director of Legal Services as required. This will include assisting with the scheduling and organisation of meetings, managing correspondence and assisting with responses to emails on behalf of, and under the direction of, the Director.
You will be responsible for providing financial administration support to the Legal Services team. This will include having oversight of the team's non-pay budget, maintaining accurate records of expenditure, supporting the preparation of the budget for each new financial year, managing the renewal and payment of various subscriptions, raising purchase orders and processing invoices as required.
Essential Requirements
- A clear commitment to developing a career in administration and professional services, with the ability to build effective working relationships and become a trusted source of administrative support to colleagues and senior stakeholders.
- Experience working in an administrative role in a busy and varied office environment.
- Skilled in organising meetings, taking minutes, and managing calendars or shared schedules.
- Ability to manage multiple competing priorities and meet deadlines.
- Proficiency in Microsoft Office applications such as Outlook, Word, and Excel is essential.
- Experience handling sensitive or confidential information.
- Ability to communicate clearly and professionally with a range of stakeholders.
Desirable Requirements
- Experience of working within a higher education environment.
- Experience of using a case management, document management or similar database system.
- Experience of supporting recruitment and selection processes.
- Experience of budget monitoring and financial administration within a large organisation.
- Experience of contributing to the development or improvement of administrative systems and processes.
