Administrator (with Social Media) — Empire Mortgages Ltd Dunfermline · Full-time · On-site
Empire Mortgages Ltd is a people-focused mortgage brokerage in Dunfermline. Our advisers work with honesty and integrity to give clients clear, tailored guidance at every step of the mortgage process, and we pride ourselves on building trust-based relationships in a supportive, client-centric team.
We're looking for a well-organised Administrator to keep our office running smoothly and to help grow our brand through social media. It's a varied role: administration and client service are the heart of the job, with social media and marketing forming an exciting part of your week. You'll be the friendly first point of contact for clients and a key support to our advisers.
Administration & Client Service (core duties)
- Managing our bespoke mortgage CRM (Active CRM) — checking, updating and keeping records accurate, and coordinating data in Excel
- Handling incoming leads and website enquiries, booking appointments into advisers' diaries
- Answering calls and client queries as a warm, professional first point of contact
- Collating client files and inputting information accurately into the CRM
- Preparing financial information, sending invoices and chasing payments as required
- Liaising with lenders, solicitors, insurers and introducers
- Supporting advisers with day-to-day administration and compliance paperwork
- Organising tasks and tracking progress to keep applications moving
- Planning and arranging company events
- Finding creative ways to support the business and its directors
- Handling sensitive information with complete discretion and confidentiality

Social Media & Marketing (part of the role)
- Creating, scheduling and managing engaging content across Facebook, Instagram, TikTok and LinkedIn
- Producing simple, eye-catching images and posts using basic design tools
- Engaging with our audience and building an active online community
- Keeping all marketing on-brand and on-message, working with the wider team on ideas and deadlines
- Using GoHighLevel for lead-nurture sequences, funnels, automations, email campaigns and booking funnels
- Monitoring analytics and trends to improve performance and shape our approach

About You
- Strong administrative and organisational skills — document management, accurate data entry and scheduling
- Confident with office software and CRM systems (word processing, spreadsheets, email)
- Excellent communication and customer-service skills, professional with clients and colleagues alike
- Careful and accurate, especially with confidential and compliance-related information
- Able to work independently and as part of a team in a fast-paced, service-oriented environment
- Experience in financial services, mortgages or a regulated environment is beneficial
- An understanding of administrative processes around lending or property transactions is an advantage
- Relevant training in business administration or office management is preferred
