Company Description

Grassroot Communities is a Bristol-based Community Interest Company supporting young people aged 8 to 30 from underserved communities across the city. The organisation works to close the opportunity gap by offering programmes shaped directly by local young people and their communities. Activities include street-based youth work, mentoring, creative and nature-based projects, sport, leadership programmes, paid internships, and youth-led media such as the “What Really Matters” podcast. In the last year, Grassroot Communities supported 5,200 young people, with 98% reporting increased confidence and many progressing into education, training, or employment through the GAP programme. The annual Bristol Birdman flying machine competition is a major community fundraiser, with all profits funding year-round youth work in Bristol.

Role Description

The Administrator will provide day-to-day administrative support to ensure the smooth running of Grassroot Communities’ programmes and operations. This part-time, on-site role is based in Knowle West, Bristol and includes managing correspondence, maintaining records and databases, and supporting with finance and HR processes. The Administrator will assist with logistics for youth programmes and fundraising events such as Bristol Birdman. They will handle basic finance administration tasks such as invoice processing, expense tracking, and maintaining financial records under guidance. The role also involves supporting monitoring and evaluation processes by collating data, preparing reports, and helping maintain compliance with relevant policies and procedures.

Qualifications

  • Strong administrative and organisational skills, including experience with scheduling, filing, and record-keeping.
  • Experience using Quickbooks or other finance tools.
  • Proficiency with office software and digital tools (e.g., word processing, spreadsheets, email, shared calendars, cloud-based document storage).
  • Effective written and verbal communication skills, with the ability to communicate clearly with colleagues, partners, and young people.
  • Attention to detail and accuracy in data entry, document preparation, and basic financial administration.
  • Ability to manage multiple tasks, prioritize workload, and meet deadlines in a busy, community-focused environment.
  • Experience or interest in working with youth, community organisations, or the nonprofit/charity sector is highly beneficial.
  • Ability to work collaboratively within a small team, as well as independently with minimal supervision.
  • Understanding of or willingness to learn safeguarding, confidentiality, and data protection practices.
  • Experience in event or programme administration (e.g., coordinating bookings, logistics, and participant information) is an advantage.
  • Relevant qualification or equivalent experience in administration, business support, or a related field is desirable.

Hours:

  • 15hrs, 2 days per week (potential for additional hours)
  • 0.4 FTE

Location:

  • Knowle West Media Centre, Leinster Ave, Bristol, BS4 1NL

Salary:

  • PAYE: £13.99ph / £10,912pa
  • Freelance: £15.94ph / £12,434pa

PAYE Benefits:

  • 28 days holiday (pro rata, including bank holidays)
  • 3% employer pension contribution (after probation period)
