Job Description: Administrator

Permanent

Salary: £30,500 per annum

Location: Bupa, Citigroup Centre, 33 Canada Square, London, E14 5LB

Hours: 40 hours per week, Full Time

Typical Working Pattern: Monday to Friday, between 07:45 and 18:00

About the Centre

This is an exciting opportunity to join our brand-new flagship Onsite Health Centre at Citi Tower in Canary Wharf. The centre offers stunning panoramic views across London and provides a premium healthcare environment equipped with the latest technology and facilities.

As one of Bupa's most prestigious health centres, this state-of-the-art facility delivers a range of services including:

We Make Health Happen

We're looking for a customer-focused Administrator to play a vital role in delivering a five-star experience for every customer who visits our centre.

This is much more than a traditional reception role. You'll be at the heart of the customer journey, ensuring every interaction is seamless, professional and personalised. From welcoming customers on arrival to arranging follow-up appointments and supporting clinical teams, you'll help create an exceptional experience within one of Bupa's most innovative healthcare settings.

Role Overview:

  • Provide a warm, professional welcome to customers and support them throughout their journey within the centre.
  • Manage reception activities, including customer arrivals, sign-ins and check-outs.
  • Answer, screen and respond to customer enquiries via telephone, email and local mailboxes.
  • Maintain a clean, organised and professional reception and waiting area.
  • Ensure customer reports are processed and dispatched within agreed timescales.
  • Support the management and escalation of abnormal results where required.
  • Prepare clinical files, appointment documentation and consent forms.
  • Manage the receipt, scanning and uploading of clinical documentation and results.
  • Ensure all customer information is accurately maintained across relevant systems including EXACT, BOSS and Meddbase.
  • Process customer payments, invoices, credit notes and additional charges.
  • Book and coordinate follow-up appointments, referrals and ongoing customer programmes.
  • Monitor stock levels and manage ordering processes.
  • Process invoices and delivery notes in line with Bupa policies.
  • Support the wider team by identifying opportunities to improve processes and enhance the customer experience.
  • Play an active role in maintaining outstanding centre facilities and escalating issues where appropriate.

What We're Looking For

We're open to candidates from a wide range of backgrounds. Previous healthcare experience is beneficial but not essential. We're particularly interested in individuals who are passionate about delivering exceptional customer service.

You may come from:

  • Healthcare or clinical administration
  • Private healthcare
  • Hospitality
  • Luxury retail
  • Corporate reception
  • Customer service environments

Most importantly, you'll have:

  • Outstanding customer service skills and a genuine passion for helping people.
  • Excellent verbal and written communication skills.
  • Previous administration and/or reception experience.
  • Strong organisational skills and attention to detail.
  • Confidence using multiple IT systems.
  • The ability to work independently and use initiative.
  • A proactive mindset with a willingness to suggest improvements.
  • A positive, approachable and professional manner.
  • Experience handling sensitive or confidential information.

Desirable:

  • Knowledge of medical terminology.
  • Experience working in a healthcare environment.
