We are excited to offer a fantastic opportunity for an Administrator to join our National Highways Account in Quinton Depot, 3 Ridgeway, Quinton, Birmingham B32 1AF. This role will be based on site.


The salary is £14.12 per hour.

The hours of work will be 10am – 2pm Monday - Friday (flexibility within office working hours).


Amey provides comprehensive facilities and estate management services for National Highways including maintenance, cleaning, and project management.

We collaborate with clients, staff, and partners to ensure our 24/7 service maintains high standards with minimal disruption, keeping one of Europe's busiest road networks safe and operational.

Key Responsibilities

  • Utilisation and maintenance of the CAFM system, ensuring accurate asset and maintenance records.
  • Auditing Planned Preventative Maintenance (PPM) activities to ensure compliance and completion.
  • Uploading, reviewing and processing PPM documentation and service reports.
  • Carrying out PPM checks, validations and sign-offs in line with contractual requirements.
  • Managing logbooks, certificates and compliance documentation, ensuring records are accurately maintained and filed.
  • Scheduling and coordinating reactive and breakdown maintenance works.
  • Providing administrative support to the Team Leader and Deputy Team Leader.
  • Organising and maintaining operational records, documentation and filing systems.
  • Obtaining and processing contractor quotations for maintenance and project works.
  • Managing emails and maintaining effective communication with clients, contractors and internal stakeholders.
  • Tracking outstanding actions and ensuring maintenance activities are completed within agreed timescales.
  • Assisting with general administration duties to support the efficient running of the maintenance team.

Skills & Attributes

  • Strong organisational and administrative skills.
  • Excellent attention to detail and record-keeping ability.
  • Confident user of CAFM systems and Microsoft Office applications.
  • Ability to prioritise workloads and manage multiple tasks effectively.
  • Strong communication skills, both written and verbal.
  • Professional and customer-focused approach when dealing with clients and contractors.
  • Updating and maintaining compliance trackers, ensuring statutory and contractual obligations are accurately monitored.
  • Managing and updating mitigation spreadsheets, tracking actions, risks and outstanding issues.
  • Reviewing financial information, including purchase orders, invoices and contractor costs, ensuring accuracy and compliance with budgets.

What You Will Bring

  • Previous experience in an administrative, helpdesk, facilities management or maintenance support role.
  • Experience using CAFM systems and managing maintenance-related documentation.
  • Strong organisational skills with the ability to manage and prioritise multiple tasks.
  • Excellent attention to detail and accuracy in record keeping and data management.
  • Proficiency in Microsoft Office applications, particularly Excel, Word and Outlook.
  • Experience maintaining compliance trackers, mitigation spreadsheets and operational reports.
  • Confidence in reviewing and checking financial information, including quotations, invoices and purchase orders.
  • Strong communication skills, both written and verbal, with the ability to liaise professionally with clients, contractors and colleagues.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • A proactive approach to problem solving and continuous improvement.
  • Strong time management skills and the ability to meet deadlines.
  • Experience managing confidential information with professionalism and discretion.
  • A positive, adaptable and flexible approach to supporting the wider team.
