Role Description

The Admissions Officer is responsible for managing learner enquiries, referrals, recruitment and enrolment activities, ensuring that learners receive a professional, welcoming and supportive admissions experience.

The role is the first point of contact for many prospective learners and includes the provision of impartial Information, Advice and Guidance (IAG) relating to programme suitability, eligibility requirements, progression opportunities and learner support available through Educate 2Gether.

The Admissions Officer supports learners from initial enquiry through to enrolment, ensuring learners are recruited fairly, support needs are identified, safeguarding concerns are escalated appropriately and accurate records are maintained.

Where learner needs fall outside the scope of the role, the Admissions Officer will refer learners to the appropriate internal colleague or external specialist service.

Main Duties and Responsibilities

Learner Recruitment and Enquiries

  • Act as the first point of contact for prospective learners and referral partners.
  • Manage learner enquiries received through telephone, email, website, social media and referral partners.
  • Promote Educate 2Gether programmes accurately and professionally.
  • Attend recruitment events, careers fairs, community outreach activities and employer engagement events where required.
  • Develop and maintain positive relationships with Jobcentre Plus staff, employment advisors, local authorities, housing associations, charities and other referral organisations.
  • Ensure recruitment activities support equality, diversity and inclusion and encourage participation from underrepresented groups.

Information, Advice and Guidance (IAG)

  • Provide impartial information and guidance regarding course options, entry requirements and progression opportunities.
  • Explain programme expectations, learner commitments and eligibility criteria.
  • Support prospective learners to identify suitable programmes based on their circumstances, aspirations and support needs.
  • Provide information regarding progression routes into employment, further learning and apprenticeships where applicable.
  • Signpost learners to relevant internal or external support services when needs extend beyond the scope of the role.
  • Maintain accurate records of discussions and actions relating to learner enquiries and progression planning.

Admissions and Enrolment

  • Process learner applications and enrolments accurately and efficiently.
  • Complete eligibility checks and collect all required documentation and evidence.
  • Verify learner identity and supporting documentation in accordance with funding and organisational requirements.
  • Ensure enrolment paperwork is complete and compliant.
  • Support learners to complete enrolment documentation and declarations.
  • Ensure learners receive relevant information relating to programme delivery, expectations, policies and procedures.
  • Maintain accurate learner records on internal management systems.

Initial Assessment and Learner Support

  • Conduct initial needs assessments and identify barriers to learning and employment.
  • Identify support requirements, including additional learning needs, wellbeing concerns and reasonable adjustment requirements.
  • Ensure identified learner needs are accurately recorded and communicated to relevant delivery staff.
  • Support learners to access available learner support services, equipment and resources.
  • Promote learner retention by maintaining regular contact during the onboarding process.

Safeguarding, Prevent and Wellbeing

  • Promote safeguarding, wellbeing and learner welfare at all times.
  • Understand and comply with the Educate 2Gether Safeguarding and Prevent Policy.
  • Recognise safeguarding concerns, vulnerabilities and welfare issues that may arise during recruitment and enrolment.
  • Record and report safeguarding concerns immediately in accordance with organisational procedures.
  • Refer safeguarding concerns promptly to the Designated Safeguarding Lead (DSL) or Deputy DSL.
  • Understand the limits of confidentiality where safeguarding or legal responsibilities require information sharing.

Quality, Compliance and Data Protection

  • Ensure compliance with funding, awarding body and organisational requirements.
  • Maintain accurate, timely and confidential records.
  • Comply with GDPR, Data Protection legislation and organisational policies.
  • Ensure learners receive and understand the organisation's Privacy Notice during enrolment.
  • Support quality improvement activities through accurate reporting and record keeping.
  • Contribute to audits, inspections and quality reviews when required.

Partnership Working

  • Develop positive working relationships with referral partners and stakeholders.
  • Liaise effectively with delivery staff to ensure a smooth learner transition into programmes.
  • Support employer engagement activities where required.
  • Contribute to the achievement of recruitment, retention and progression targets.

Professional Development

  • Participate in induction, mandatory training and continuous professional development activities.
  • Attend team meetings, standardisation events and staff development sessions.
  • Maintain knowledge of funding requirements, learner eligibility criteria, safeguarding, Prevent, EDI and IAG best practice.
  • Keep up to date with labour market information and progression opportunities relevant to Educate 2Gether programmes.

Qualifications

  • Level 3 IAG training
  • Strong interpersonal skills and the ability to build rapport with prospective learners and partners.
  • Effective communication skills, including clear written and verbal communication across phone, email, and online platforms.
  • Customer service skills focused on responsiveness, empathy, and problem-solving.
  • Administrative assistance skills, including data entry, record keeping, and organizing admissions documentation.
  • Professional phone etiquette and comfort handling a high volume of calls.
  • Attention to detail and accuracy in managing applicant information and timelines.
  • Ability to work independently in a remote environment and manage multiple tasks and priorities.
  • Proficiency with common office software and online communication tools; experience with CRM or student information systems is an advantage.
  • Prior experience in admissions, customer support, or administrative roles is beneficial.
  • Relevant education or training in administration, customer service, or a related field is preferred but not required.
