Summary

Care Heroes Ltd are looking for a new Healthcare Administration Apprentice! You will be studying toward your Level 3 Apprenticeship in Business Administration.

Wage
£15,392 for your first year, then could increase depending on your age
National Minimum Wage rate for apprentices

Monday to Friday 9am to 5pm, shifts, may work evenings and weekends.

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

During your training, you will undertake the following:

  • Answer incoming calls from clients, families, healthcare partners, and staff in a professional and empathetic manner.
  • Act as the main point of contact for hospitals, GPs, and local authority representatives.
  • Manage email correspondence and respond promptly to queries.
  • Schedule client care appointments and visits for the domiciliary care team.
  • Coordinate appointment changes, cancellations, and urgent requests.
  • Ensure staff rotas are kept up to date and communicate changes effectively.
  • Maintain client records in line with GDPR and CQC requirements.
  • Prepare, update, and file care documentation, assessments, and contracts.
  • Support the recruitment and onboarding process with document collation and interview scheduling.
  • Order and manage office supplies and ensure the workplace is organised.
  • Support with preparing reports, audits, and data summaries for management.

What you'll learn

Skilled in the use of multiple IT packages and systems relevant to the organisation in order to:

  • Write letters or emails, create proposals, perform financial processes, record and analyse data.
  • Choose the most appropriate IT solution to suit the business problem.
  • Update and review databases, record information and produce data analysis where required.
  • Produce accurate records and documents including: emails, letters, files, payments, reports and proposals.
  • Make recommendations for improvements and present solutions to management.
  • Draft correspondence, write reports and able to review others' work.
  • Maintain records and files, handle confidential information in compliance with the organisation's procedures.
  • Coach others in the processes required to complete these tasks.
  • Exercise proactivity and good judgement.
  • Make effective decisions based on sound reasoning and is able to deal with challenges in a mature way.
  • Seek advice of more experienced team members when appropriate.
  • Build and maintain positive relationships within their own team and across the organisation.
  • Demonstrate ability to influence and challenge appropriately.
  • Become a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrate good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms.
  • Use the most appropriate channels to communicate effectively.
  • Demonstrate agility and confidence in communications, carrying authority appropriately.
  • Understand and apply social media solutions appropriately.
  • Answer questions from inside and outside of the organisation, representing the organisation or department.
  • Complete tasks to a high standard.
  • Demonstrate the necessary level of expertise required to complete tasks and applies themselves to continuously improve their work.
  • Review processes autonomously and make suggestions for improvements.
  • Share administrative best-practice across the organisation e.g. coach others to perform tasks correctly.
  • Apply problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.
  • Manage priorities and time in order to successfully meet deadlines.
  • Manage the expectations of colleagues at all levels and set a positive example for others in the workplace.
  • Make suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation).
  • Manage resources e.g. equipment or facilities.
  • Organise meetings and events, take minutes during meetings and create action logs as appropriate.
  • Take responsibility for logistics e.g. travel and accommodation.
  • Use relevant project management principles and tools to scope, plan, monitor and report.
  • Plan required resources to successfully deliver projects.
  • Undertake and lead projects as and when required.

Training schedule

Training takes place in the workplace where you will gain the knowledge and skills required to work in a busy office environment. Training is delivered online via a dedicated tutor who will organise classroom-based sessions and workshops throughout your apprenticeship journey. You will meet with your tutor on a monthly basis and access support via Teams and 1-2-1 sessions.

Essential qualifications

  • GCSE in: English (grade 3)
  • GCSE in: Maths (grade 3)
  • Level 2 Business related qualification in: Administration (grade Pass)
