Agency Operations Executive

What you’ll do

Our seamless operational support keeps our creative and delivery teams moving forward. As an Agency Operations Executive, you will support the day-to-day coordination of agency operations, logistics, internal events, IT, and recruitment administration. You will work closely with our MD and the broader senior ops team to ensure our processes run smoothly and efficiently.

  • Executive & team operations: Support our MD with calendar management, inbox sorting, priority distribution, expense management, travel and tracking day-to-day ops actions.
  • MD event support: Event-related tasks including coordinating event logistics, managing guest lists and RSVPs, providing on-site support during high-profile events (will include international travel).
  • Executive projects & research: Support the MD on priority company initiatives, research and ad-hoc projects.
  • Company Away Days & events: Manage project coordination for company Away Days, including venue bookings, content collation, schedule planning, and workshop allocations.
  • Recruitment & onboarding support: Assist department leads with draft job descriptions, post listings to job boards, brief external recruiters, schedule candidate interviews, issue contracts, and coordinate onboarding schedules.
  • Travel platform & authorisation management: Oversee travel booking systems, review authorisation forms for accuracy, ensure travel policies are followed, and assist with visa support where required.
  • Insurance & policy compliance: Help maintain insurance policies, ensure updated documentation is stored on Backstage, and liaise with Production to ensure policy guidelines are enforced.
  • Supplier & NDA onboarding: Facilitate supplier onboarding workflows, collecting non-disclosure agreements (NDAs) and maintaining up-to-date supplier records.
  • IT coordination: Act as the internal liaison for IT requirements via external IT company, managing device setups, hardware issues, and account onboarding.
  • Impact reporting & ops policies: Support the collation of data for the B Corp Impact Report and ensure general company operational policies are upheld across teams.
