AI Operations Specialist
Job Type: Contract
Working Mode: Remote, with occasional travel to the client site when required.
Work Location: London, UK (Remote)
Job Summary
We are seeking an experienced AI Operations Specialist to manage enterprise AI tool adoption, provide technical support, and optimize platform operations across our organization. This role focuses on hands-on platform management, technical troubleshooting, and operational excellence for leading AI platforms including Anthropic Claude, Microsoft Copilot, OpenAI, Figma, Cursor, and internal SharePoint AI applications.
The successful candidate will combine technical depth in AI platforms with operational expertise in license management, incident response, and workflow optimization—supporting users from individual contributors to C-suite executives.

Required Experience & Skills
Core Requirements
- 1-4 years of operations, technical support, platform management, or IT systems experience
- Hands-on experience with at least 3 of the following: Claude (API or Teams), Microsoft Copilot, OpenAI (ChatGPT or API), Figma, Cursor, or similar AI/developer tools
- Demonstrated proficiency in license tracking, software provisioning, and vendor management
- Experience with incident response, troubleshooting, and change management processes
- Solid working knowledge of scripting or programming (Python, JavaScript, SQL) to support agent development and data analysis
Technical Skills
- API integration, REST/GraphQL fundamentals, and hands-on experience with Postman or similar tools
- Cloud platform basics (AWS, Azure, or GCP) including IAM, APIs, and monitoring
- Microsoft 365 administration (SharePoint, Teams, Outlook) and integration experience
- Data analysis and visualization tools (Excel, SQL, Tableau, Power BI) for reporting and trend analysis
- Version control systems (Git) for managing code, prompts, and configurations

Key Responsibilities
AI Platform Operations & Technical Support
- Provide Tier-2/3 technical support for: Claude (API, Claude.ai, Teams plans), Microsoft Copilot (Pro, Enterprise), OpenAI (ChatGPT, API), Figma AI, Cursor IDE, and internal SharePoint AI applications
- Troubleshoot complex issues including API integrations, authentication/SSO problems, feature adoption blockers, and platform configurations
- Create and maintain technical documentation, runbooks, FAQs, diagnostic guides, and best practice resources for internal teams
- Monitor platform health, performance metrics, and service status across all tools; escalate and track critical issues
- Work directly with vendors to report bugs, request features, and resolve service-level issues
License Management & Cost Optimization
- Track and manage license allocation across all AI platforms (Claude Teams, Copilot, OpenAI credits, Figma, Cursor, etc.)
- Generate monthly utilization reports, usage analytics, and cost breakdowns; identify optimization opportunities
- Maintain per-user usage databases and communicate license policy changes to stakeholders
- Support procurement processes including RFP responses, contract negotiation prep, and vendor comparison analysis
- Develop business cases and ROI analyses for new platform evaluations

Agent & AI Application Development
- Design and build AI agents, custom applications, and integrations across the platform ecosystem (Claude APIs, Copilot plugins, GPT Actions, Figma plugins)
- Identify automation opportunities across operational workflows; scope, build, test, and deploy solutions independently
- Create reusable agent templates, prompt libraries, and integration patterns; document for team reuse
- Collaborate with functional teams to gather requirements, iterate on solutions, and optimize for user experience
Incident & Change Management
- Respond to and troubleshoot platform incidents; document root causes and implement preventive measures
- Plan and execute platform upgrades, feature rollouts, and configuration changes; communicate timelines and impacts
- Maintain audit trails, compliance documentation, change logs, and standard operating procedures
- Ensure adherence to data governance, security standards, and organizational policies.
Governance & Enablement
- Contribute to development of AI governance policies covering data privacy, acceptable use, prompt security, and integration controls
- Create training materials, how-to guides, webinars, and role-specific enablement content for all user levels
- Share learnings and best practices across the organization; act as a resource for AI adoption questions
