đ„Why This Role Is SO Important:
Weâre looking for an AI Operations Manager to turn AI, automation and connected systems into better ways of working across the business.
Youâll take fragmented processes and make them simple, reliable and scalable. Youâll connect data and workflows across the customer lifecycle, improve the quality of operational insight and help teams focus on the right customer and partner priorities.
Your work will help the business protect customer value end to end, from onboarding and adoption through to retention, renewal and expansion. Youâll also support forecasting, performance reviews and planning with accurate data and clear commentary.
This is a hands-on role for someone who enjoys understanding how systems work, improving the way people use them and turning raw data into focused action. Youâll work with senior leaders and operational teams, influencing without formal authority and building capability that people can rely on every day.
Key Duties & Responsibilities
Letâs be clear from the start: this isnât a role where you simply produce reports or configure systems in isolation. Youâll connect the dots between technology, data, process and people, making sure the business has the insight and operating rhythm it needs to retain and grow customer value.
- Owning AI Operations: Owning and improving AI-enabled workflows, tracking and automation across Claude, HubSpot and the wider systems stack.
- Managing Business Systems: Configuring, troubleshooting and optimising platforms such as Planhat, Impartner, HubSpot, Power BI and similar tools so they are intuitive, well governed and consistently used.
- Improving Data Quality: Maintaining clear ownership, documentation and data standards across connected platforms and creating a trusted single source of truth.
- Building Customer Health Scoring: Bringing together product usage, engagement, support interactions and commercial milestones to create useful customer health scores and signals.
- Creating Proactive Alerts: Implementing alerts for churn risk, low usage and expansion opportunities so teams can intervene with the right context at the right time.
- Connecting the Customer Lifecycle: Creating joined-up visibility across onboarding, adoption, retention, renewal and expansion.
- Building Reporting and Insight: Creating dashboards, insight packs and centralised reporting that leaders and teams can rely on.
- Supporting Forecasting and Planning: Supporting weekly forecasting, monthly performance reviews and quarterly planning with accurate data and clear commentary.
- Turning Data Into Action: Distinguishing leading and lagging indicators, surfacing patterns and translating raw data into clear, prioritised actions.
- Improving Cross-Functional Processes: Mapping, refining and documenting end-to-end processes across Customer Success, Partnerships, Support, Marketing and Sales.
- Creating Playbooks: Developing workflows, playbooks and process guides that help teams execute consistently and reduce duplicated administration.
- Driving Operating Leverage: Identifying opportunities to remove manual work, improve efficiency and enable growth without equivalent headcount growth.
- Supporting Better Decisions: Partnering with senior leaders to turn data into focused priorities for investment, capacity, headcount and roadmap decisions.
- Applying AI Thoughtfully: Exploring and applying appropriate AI tools to customer, commercial and operational workflows, with appropriate governance and human oversight.

It would help if you have:
- Experience in AI operations, automation, business systems, Revenue Operations or a similar systems-focused role in SaaS.
- Hands-on experience configuring, troubleshooting and optimising platforms such as HubSpot, Planhat, Impartner, Power BI or similar tools.
- Experience building reporting, dashboards, health scoring, alerts or operational insight.
- Experience improving processes across multiple functions and influencing without formal authority.
- A strong understanding of customer lifecycle and commercial performance metrics.
