About The Role

We are looking for a highly skilled and dynamic Project Manager with deep expertise in Airtable to revolutionize creative production workflows. In this pivotal role, you will empower photo, video, and art buying teams by designing, building, and continuously refining Airtable solutions that streamline their operations, boost efficiency, and provide critical insights. You will be the go-to expert, translating complex requirements into intuitive systems and championing the thoughtful integration of AI to push the boundaries of what’s possible in creative project management.

What You’ll Do

  • Design and construct bespoke Airtable bases tailored to the specific workflows of creative production teams, translating project requirements and feedback into clear, organized, and user-friendly systems.
  • Collaborate closely with creative teams to gain a deep understanding of their processes, identify bottlenecks, and pinpoint opportunities where Airtable can introduce structure, visibility, and efficiency.
  • Drive the ongoing development and iteration of Airtable bases, effectively prioritizing requests, coordinating feedback, and ensuring solutions evolve in sync with changing team needs and project demands.
  • Serve as the primary Airtable expert, confidently guiding teams on how to maximize the utility of bases, views, automations, and reporting tools without overcomplicating the user experience.
  • Implement and maintain Airtable automations to eliminate repetitive manual tasks from creative workflows, including status updates, notifications, scheduling triggers, and asset tracking.
  • Actively and thoughtfully leverage AI tools to accelerate the development and refinement of Airtable solutions, utilizing AI for automation generation, troubleshooting logic, data structuring exploration, and rapid prototyping of new features.
  • Maintain a keen awareness of emerging AI capabilities, proactively bringing forward ideas and recommendations for how AI-assisted tools or integrations can meaningfully enhance creative production workflows.
  • Develop and manage reporting views and dashboards within Airtable to provide leadership with clear visibility into production pipelines, asset delivery, supplier activity, and team capacity across creative functions.
  • Create and maintain comprehensive, up-to-date documentation and training materials to ensure creative teams can confidently navigate their Airtable tools and new team members can quickly get up to speed.
  • Communicate proactively with project leads and technical partners to ensure Airtable bases accurately reflect live project information, and that any issues or changes are addressed with minimal disruption to active productions.

What You’ll Bring

We’re seeking candidates who possess the majority of the following qualifications:

  • Airtable Mastery: Demonstrable, hands-on experience in building and managing complex Airtable bases, including interface design, advanced views, sophisticated automations, and comprehensive reporting. This is the cornerstone of the role.
  • Creative Production Acumen: A strong understanding of how photo, video, and art buying teams operate, encompassing production lifecycles, asset workflows, supplier coordination, and the fast-paced nature of creative project management.
  • Project Management Prowess: Proven ability to manage multiple workstreams concurrently, prioritize tasks effectively, and keep projects progressing efficiently within a fast-paced, creative environment.
  • Workflow Optimization Mindset: Experience in identifying manual processes ripe for automation and the confidence to build and implement those automated solutions within Airtable or integrated tools.
  • AI Fluency: Comfortable and proficient in using AI tools in daily work to build and refine automations, troubleshoot problems, generate ideas, and find more efficient ways to deliver team needs. A genuine curiosity about AI’s potential to improve creative workflows is essential.
  • Exceptional Communication: Excellent written and verbal communication skills, with the ability to actively listen to creative teams, accurately understand their needs, and translate them into practical Airtable solutions without resorting to overly technical jargon.
  • Stakeholder Collaboration: Adept at working across diverse teams and seniority levels, effectively gathering requirements, managing expectations, and ensuring timely communication with all relevant parties.
  • Meticulous Attention to Detail: A commitment to developing clean, logical, and robust Airtable bases, employing consistent naming conventions, thorough documentation, and structured organization that enhances usability for everyone.

  • Familiarity with automation platforms such as Make (formerly Integromat) or Zapier for integrating Airtable with other tools and systems.
  • Prior experience within a large-scale creative, media, or technology organization, whether in-house or as a vendor/contractor.
  • Experience in supporting or training non-technical teams on new tools and workflows.
  • A deep understanding of how photo production, video shoots, or art buying processes are managed from initial brief through to final delivery.
  • Familiarity with project management methodologies like Agile, and the ability to apply the appropriate level of structure to different project types.
