ALS Exam Access Administrator

An exciting opportunity has arisen at Oaklands for an ALS Exam Access Administrator to work on Term Time Only as part of the ALS team providing administrative support, with specific focus on the administrative duties involved in Exam Access Arrangements and administrative support with Pro Solutions.

NOTE: Salary will be pro rata of the advertised FTE.

Working hours:

  • 9:00am - 5:00pm on Monday to Thursday
  • 9:00am - 4:30pm on Friday

Key Responsibilities

  • Provide a flexible, high quality administrative support service.
  • Support the process of Exam Access Arrangements including contacting parents, schools and external agencies to gather evidence and information.
  • Assist with the processing of Exam Access Arrangements within internal college systems.
  • Work closely with the ALS Team and curriculum staff to ensure deadlines and work are completed in a timely manner.
  • Undertake administration from start to completion including scanning and maintaining records in Pro Solutions and electronic filing systems in accordance with JCQ regulations.
  • Produce reports required by ALS from Pro Solution and assist in updating data to ensure correct information is available.
  • Update and maintain electronic records relating to Exam Access Arrangements (EAA).
  • Maintain diaries, make appointments, arrange meetings, events and display boards.
  • Build up a network of contacts at feeder schools to enable a smooth transfer/ roll over of exam arrangements from schools to college.
  • Deal with routine correspondence and enquiries by email, phone calls or in person from exams, learners, parents, outside agencies and College staff, referring queries where appropriate.
  • Ensure that all administrative processes are followed with attention to detail; which will ensure that we are ready for annual JCQ inspections.
  • Maintain records for equipment loans and ensure that students return their equipment when it is no longer needed or they are leaving college.
  • Support the exams team by ensuring that equipment is ready to use and distributed to students as and when required.
  • Ensure that Inclusion and belonging are embedded into everything that you do.

Is This You?

Essential Criteria:

  • Good standard of education – 5 GCSEs Grade C/4 or equivalent qualification, or extensive administrative experience.
  • Experience of using Microsoft packages.
  • Experience of working in a customer service role.
  • Experience of data entry with high levels of accuracy.
  • Ability to work as part of a team or on own initiative.
