The Role

Join NHS Greater Glasgow and Clyde as an Anaesthetic Administrator within the Theatres, Anaesthetics and Critical Care Service, supporting teams across the Queen Elizabeth University Hospital, Victoria ACH and Gartnavel General Hospital. This is a varied and rewarding role where you will provide high-quality administrative and secretarial support to medical staff, helping to ensure the smooth and effective delivery of surgical services. You will be responsible for delivering a comprehensive and efficient administration service for medical staff working across inpatient and day case theatre areas, while supporting effective communication and coordination between multidisciplinary teams. The post requires regular liaison with surgeons, anaesthetists, nurses, coordinators and administrators, making strong communication and relationship-building skills essential. Duration, Location, and Working Pattern:

  • Queen Elizabeth University Hospital, Victoria ACH and Gartnavel General Hospital
  • Permanent, part-time
  • Thursday & Friday, hours to be confirmed
  • Please note the salary is Pro Rata for part-time hours

Key Responsibilities

  • Provide comprehensive administrative and secretarial support to the Anaesthetics Department and Service Management Team
  • Maintain and update complex departmental rotas, ensuring theatre sessions and on-call cover are accurately recorded
  • Manage and maintain service databases, records and electronic filing systems with a high degree of accuracy
  • Produce utilisation reports, statistical information and ad hoc data reports to support operational decision-making
  • Coordinate meetings, prepare agendas, arrange facilities and take accurate minutes when required
  • Act as a key point of contact, handling confidential enquiries professionally and developing effective working relationships across the service
  • Support recruitment, workforce administration, payroll-related processes and other service priorities as required

Knowledge, Training, Qualifications and/or Experience Required to Do the Job:

  • HNC/SVQ Level 3 in Secretarial Studies, Business Administration or equivalent relevant experience
  • Significant secretarial or administrative experience within a complex and fast-paced environment, preferably within the NHS or healthcare sector
  • Excellent working knowledge of Microsoft Office applications including Word, Excel, Outlook and PowerPoint
  • Strong organisational skills with the ability to manage competing priorities and work independently
  • Excellent verbal, written and interpersonal communication skills with a high level of professionalism and discretion
  • Experience of data management, report production and maintaining accurate records with attention to detail
  • Ability to work collaboratively, solve problems effectively and adapt to changing service demands
