Summary

Andy Whitelaw Joinery Ltd is based near to the centre of Scarborough. This is a position that will add to and support the current administration team.

The successful applicant will be working in a busy office environment dealing with the general day to day administration of the company.

Wage

£14,560 for your first year, then could increase depending on your age
National Minimum Wage rate for apprentices

Hours

Monday - Friday, 8:30am - 4.00pm. 35 hours a per week. Hours may differ slightly during the initial training period.

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

As our Apprentice, you will work at AWJ and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

  • Be the first point of contact for customers in person and over the telephone
  • Greet customers professionally and deal with their enquiries accordingly
  • Efficiently deal with email enquiries
  • Scheduling of work
  • Assist in arranging orders and deliveries
  • Assist with the smooth running of the business
  • Work with all members of the team to provide an efficient, effective and seamless job performance
  • Management/overseeing social media accounts
  • General office task such as filing
  • Complete customer records

What you'll learn

Course contents:

  • Receive, retrieve, process, record and store information and data.
  • Operate within organisational policies, standards and procedures and relevant legislation respecting confidentiality; adapting to operational changes as they occur.
  • Use software packages and tools for example AI or automation to input and process data and information, to contribute to routine administration tasks in line with organisational policies and procedures.
  • Handle and communicate information in line with organisational policies, procedures and security requirements.
  • Recognise and rectify issues and escalate as required. For example stakeholder documents and reports, safeguarding concerns or abusive behaviour.
  • Plan and review administration tasks allocated by supervisor.
  • Maintain professional relationships with stakeholders.
  • Monitor and report on the use of resources such as materials, equipment and supplies.
  • Use agreed organisational systems and protocols to manage calendars, diaries and booking systems.
  • Source information as requested by stakeholders, ensuring they are shareable. As examples client records, signpost to services or reports.
  • Use continuing professional development including self-reflection to support current and future training and development needs.
  • Use communication tools to respond to stakeholders using professional language and organisational etiquette.
  • Operate within agreed health and safety standards.
  • Use time management tools to meet deadlines.
  • Handle feedback following expected professional etiquette.
  • Maintain wellbeing, accessing organisational support mechanisms if required.
  • Review and check own work.
  • Use cloud services to share documents for use and or collaboration.
  • Protect against security threats for example, strong passwords, two step verification, office tailgating and display of security passes or clothing that identifies secure workplaces.
  • Seek clarification and help, when required, to complete assigned tasks within agreed timeframes.

Training schedule

This Apprenticeship includes regular training with Craven College. At least 20% of your working hours through the duration of your Apprenticeship will be spent training or studying on and off the job.

Level 2 Administration Assistant Apprenticeship Standard
This type of role is found in all sectors and industries and includes all sizes of organisations from small to large businesses. Assistant administrators have a highly transferable set of knowledge, skills and behaviours that can be applied across the public, private and third sector. This is an Intermediate Level 2 Apprenticeship in Administration. It will include a combination of on and off-the-job training in the workplace. You will have monthly mentoring and guidance at work from a Craven College Learning & Development Advisor alongside monthly online (using Teams) training workshops / tutorials. Where the candidate has not already achieved Level 2 English and Maths (or equivalent), they will be encouraged to do so before taking the end point assessment. After approximately 12 months you will be entered to undertake an end point assessment, and complete the apprenticeship.
