Wage
£15,600 to £24,784.50, depending on your age

You will start on the apprenticeship starting rate of pay £8.00 per hour.
The starting rate may be negotiable, this depends on experience.
The rate of pay may increase, subject to successful achieve.

What you'll do at work
The role: What we develop together
Your journey at Yoma will be structured but highly flexible, allowing you to grow into the role as your skills develop.
While you will gain a broad understanding of how a full-service agency works, your core training will focus on the following key areas:
- Project management: You’ll learn how we take complex eCommerce and marketing projects from conception to completion, keeping teams aligned and objectives on track
- Account management: You’ll learn how to build honest, reliable relationships with B2B and B2C clients, helping them mature in their digital knowledge
- Marketing campaigns & SEO: You will assist in managing targeted digital marketing solutions, with a strong focus on technical and on-page SEO to help our clients boost traffic and conversions
- Agency operations: Supporting day-to-day administrative efficiency, helping us work more logically and support the wider team as we scale

What you'll learn
Course contents
- Receive, retrieve, process, record and store information and data.
- Operate within organisational policies, standards and procedures and relevant legislation respecting confidentiality; adapting to operational changes as they occur.
- Use software packages and tools for example AI or automation to input and process data and information, to contribute to routine administration tasks in line with organisational policies and procedures.
- Handle and communicate information in line with organisational policies, procedures and security requirements.
- Recognise and rectify issues and escalate as required. For example stakeholder documents and reports, safeguarding concerns or abusive behaviour.
- Plan and review administration tasks allocated by supervisor.
- Maintain professional relationships with stakeholders.
- Monitor and report on the use of resources such as materials, equipment and supplies.
- Use agreed organisational systems and protocols to manage calendars, diaries and booking systems.
- Source information as requested by stakeholders, ensuring they are shareable. As examples client records, signpost to services or reports.
- Use continuing professional development including self-reflection to support current and future training and development needs.
- Use communication tools to respond to stakeholders using professional language and organisational etiquette.
- Operate within agreed health and safety standards.
- Use time management tools to meet deadlines.
- Handle feedback following expected professional etiquette.
- Maintain wellbeing, accessing organisational support mechanisms if required.
- Review and check own work.
- Use cloud services to share documents for use and or collaboration.
- Protect against security threats for example, strong passwords, two step verification, office tailgating and display of security passes or clothing that identifies secure workplaces.
- Seek clarification and help, when required, to complete assigned tasks within agreed timeframes.

The Apprenticeship Overview:
An assistant administrator is an integral part of the team and organisation responsible for supporting the efficient organisational functions and operations.
An assistant administrator's work can include tasks such as routine data entry and providing support to team members to help ensure that daily activities are carried out within agreed timescales and quality expectations. They represent the organisation when dealing with internal and or external stakeholders.
In their daily work, an employee in this occupation interacts with colleagues, supervisors, senior managers, clients, customers, contractors, suppliers, service users, and government agencies.
The qualification will involve the candidate undertaking the following duties to meet the Knowledge, Skills and Behaviours required for the Apprenticeship Standard:
- Communicate with stakeholders, such as internal teams and external organisations, using appropriate methods and professional language. This may include letters, phone, face-to-face, e-mail, videocall, online chat functions or digital platforms
- Support internal or external events or meetings, in person or on line, following organisational policies and procedures.
- Access and store information securely in line with organisational requirements for future use and recovery. For example physical and or digital filing systems
- Use software packages to collate, input and extract data and information in line with organisational requirements. For example updating office databases, stakeholder records or notes, finance records, CRM systems or sending mailshots
- Format and input data in line with organisational requirements. For example, redacting information, stakeholder details, expenses, travel and routine reports. Report or escalate errors, breaches or concerns to supervisor or line manager
- Provide support to team members to help ensure that activities are carried out within agreed timescales, budgets and quality expectations. For example, ordering and reporting on office resources or sourcing information. Inform line manager or supervisor on any changes, anomalies or concerns
- Identify, collate and handle data and information from different sources such as business, stakeholder records and delivery notes Share securely, confidentially and in line with organisational expectations and requirements
- Be aware of the organisation’s priorities and activities, and how the role supports these. For example undertaking routine tasks such as presenting information and producing documents
- Identify issues and escalate problems to others when beyond remit
- Plan and review workload with supervisor to ensure best use of time to complete allocated tasks to deadlines
- Keep up to date with sector developments to enhance skills and follow a continuous professional development plan

You will attend weekly classes and support sessions via Teams during your apprenticeship; you will have regular progress review meetings with you, your employer and dedicated tutor/assessor to ensure you are on track.
Whilst undertaking the apprenticeship you will cover a range of Knowledge, Skills, and Behaviours as outlined by the apprenticeship standard, these will be transferable and suitable to an administration role in any sector.
Kirklees College and Yoma Digital Ltd will teach you general skills required to successfully conduct your role, whilst in company, you will acquire specific skills and experience related to the role.
Who You Are.....
We don’t expect you to have much eCommerce experience on day one, but we do recruit for ambition and attitude.
You will be a great fit if you are:
- Highly organised: You have an eye for the finer details, manage your time effectively between work and study, and ensure nothing drops through the cracks
- Self-motivated: Comfortable with a hybrid working model. You can drive your own day when working from home and are eager to learn independently
- IT literate/strong baseline in Word, spreadsheets, and an aptitude for learning new software platforms
- Ambitious & logical: You are looking to progress to the next level. You want a challenge and aren't afraid of complex processes or stepping out of your comfort zone
- A clear communicator: You match our straight-talking, honest approach and can collaborate seamlessly with both internal teams and external clients
Essential qualifications
GCSE in:
- Maths and English (grade Grade 4/C or above)
Desirable qualifications
BTEC in:
- ICT - Outlook, Excel and Word (grade PASS, MERIT OR DISTINCTION)
Share if you have other relevant qualifications and industry experience. The apprenticeship can be adjusted to reflect what you already know.
