Compass Disability Services
Compass Disability Services is a user-led charity based in Taunton, working across community, disability and social care services. You will provide direct administrative, monitoring and coordination support to the CEO across compliance, governance and related organisational processes.
Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.
What you'll do at work
This role helps make that work possible. By helping to keep compliance, governance, HR administration, records, evidence and follow-up actions organised and up to date. The postholder line managed by the CEO, and requires liaising with managers, staff, volunteers and trustees. Being effective in this role helps the wider organisation focus on delivering safe, effective and meaningful services for the people and communities we support.
Main Duties
- To build a thorough understanding of all areas of the organisation including projects, service delivery and team dynamics.
- To provide administrative and monitoring support across a range of governance and compliance functions including DBS, Companies House, Charity Commission etc.
- To support the development, maintenance and actions relating to the Calendar of Duties including risk management, utilities, health and safety, etc. and storing all related evidence appropriately.
- To develop positive relationships with all staff teams to aid communication including ensuring that all risks and issues are highlighted and addressed in a timely manner.
- To support the sharing of information including the creation of the staff and trustee e-bulletin.
- To maintain the Info@compassdisability inbox, ensuring that all emails are actioned as appropriate.
- To undertake various HR administration for example (not exhaustive):
- Scanning, uploading and filing of documents,
- Seeking reference requests
- Responding to candidate queries etc.
- Auditing HR profiles to ensure all relevant tasks have been completed by line managers and that the correct documentation is present
- Supporting with preparation and administration of on-boarding processes
- IT set-up requests
- HR profile set-ups
- Annual leave carry over admin
- To provide guidance, support and administration of the organisation’s training portal.
- To provide support with new recruits (staff, volunteers and Trustees) to ensure that they have access to the appropriate systems, receive the appropriate policies and procedures etc.
- To monitor completion of supervisions, appraisals and 1:1s, and follow up with managers where records are missing or overdue.
- To build understanding of all compliance tasks relating to CQC's areas of assessment to enable proactive auditing and management of ongoing compliance and improvements for care related services.
- To act as a conduit, ensure that the CEO is kept informed of the relevant organisational updates, background information, existing tasks and emerging issues.
- To give administrative support to managers regarding diarising and undertaking probation reviews, 1:1's and supervisions.

What you'll learn
Course contents
Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.

Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues.

Takes responsibility for logistics e.g. travel and accommodation.
Uses relevant project management principles and tools to scope, plan, monitor and report. Plans required resources to successfully deliver projects. Undertakes and leads projects as and when required.
