Summary

This vacancy is for an Apprentice Business Administrator based in Liverpool. The successful applicant will have the opportunity to undertake valuable work experience dealing with internal and external customers while gaining on-the-job qualifications.

Wage

  • £15,600 for your first year, then could increase depending on your age
  • National Minimum Wage rate for apprentices

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What You'll Do at Work

Key Responsibilities

  • Assist with accurate posting of receipts and payments for client and office accounts.
  • Support the preparation of electronic payments (e.g., CHAPS/Faster Payments) for completion monies and private client transactions, subject to authorisation.
  • Assist with banking tasks, including allocation of incoming funds and reconciliation support.
  • Help ensure correct matter allocation and narrative descriptions for all postings.

Conveyancing Cashiering Support

  • Assist with handling conveyancing completion funds under supervision (e.g., purchase monies, sale proceeds, estate agent fees, SDLT/LTT/land registration related payments as applicable).
  • Support the preparation of completion statements/financial statements from an account's perspective (confirming cleared funds, ensuring correct ledger postings).
  • Assist with processing disbursements and bills relating to conveyancing matters.
  • Liaise with fee earners to resolve posting queries, missing information, or timing issues relating to completions.

Private Client Cashiering Support

  • Assist with postings and payments connected with private client work (e.g., probate, estate administration, trusts) as directed.
  • Support accurate recording of receipts, payments, and transfers, ensuring correct allocation to the relevant matter/ledger.
  • Assist with tracking and recording disbursements and fees on private client matters.

3.4 Compliance, Controls & Risk Management

  • Follow the firm's procedures for client money, approvals, segregation of duties, and payment authorisation.
  • Assist with maintaining clear audit trails for receipts, payments, and transfers.
  • Escalate potential issues promptly.
  • Support compliance-related tasks as directed.
  • Learn and understand the SRA rules, standards, and Regulations.
  • Learn and adhere to AML obligations when handling client money.

Billing & Posting Support

  • Assist with posting bills, credit notes, and transfers in line with firm instructions.
  • Support the allocation of costs/disbursements and ensure accurate linking to matters.
  • Assist with chasing missing billing information where required.

  • Maintain organised records (digital and/or paper) in line with firm procedures.
  • Handle internal and external account queries politely and promptly, escalating as appropriate.
  • Provide general support to the accounts function during peak periods (e.g., month-end, high completion volumes).

Apprenticeship & Learning Requirements

  • Develop understanding of legal accounting principles, client money handling, and the conveyancing/private client transaction lifecycle.
  • Basic IT literacy (email, spreadsheets, and case/practice management/accounting systems).
  • Professional, discreet, and able to handle confidential information appropriately.
  • Good communication skills (written and verbal) and ability to work well in a team.
  • Organised, able to prioritise, and willing to ask questions/seek clarification.
  • Integrity and reliability, with a clear understanding that the role involves handling sensitive financial information.

  • Maintain strict confidentiality regarding client and firm financial information.
  • Follow the firm's data handling and information security procedures at all times.
  • Report any suspected data breaches or suspicious activity immediately to the appropriate person.

What You'll Learn

Course Contents

  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information, and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports, and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports, and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing, or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department.
