Apprentice Medical Receptionist/Administrator

Summary

We are seeking a reliable, organised and motivated individual to join our friendly reception and administration team. The ideal candidate will have strong communication skills, be confident dealing with customers face-to-face and by telephone, be computer literate, work well under pressure, and manage multiple tasks in a busy environment.

  • Monday - non working day
  • Tuesday - 8am to 5pm
  • Wednesday - 8am to 3pm
  • Thursday 8.30am to 3pm
  • Friday - 8am to 5pm

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

Main Duties and Responsibilities

  • Act as the first point of contact for patients, visitors, and healthcare professionals, providing a professional and welcoming service.
  • Answer and manage incoming telephone calls, taking and relaying messages accurately.
  • Respond to patient enquiries via telephone, email, online systems, and in person.
  • Book, amend, and cancel patient appointments in line with practice procedures and clinical need.
  • Process online appointment requests and allocate them to the appropriate clinician.
  • Manage appointment diaries and support the smooth running of clinics and surgeries.
  • Handle requests for test results in accordance with practice policies.
  • Arrange home visit requests and out-of-hours appointments where appropriate.
  • Process Electronic Prescriptions (EPS) and repeat prescription requests.
  • Register new patients and maintain accurate patient records on clinical systems.
  • Update patient demographic information, including changes of address and contact details.
  • Maintain both electronic and manual medical records in line with confidentiality requirements.
  • Liaise with hospitals, district nurses, NHS services, and other external healthcare organisations.
  • Send and receive correspondence, including emails, medical summaries, and patient information.
  • Receive deliveries and process associated documentation.
  • Provide general administrative support to GPs, nurses, and the wider practice team.
  • Ensure the reception and waiting areas are clean, organised, and stocked with current patient information.
  • Keep patients informed of delays and support effective communication within the practice.
  • Follow practice security, confidentiality, and data protection procedures.
  • Report accidents, incidents, complaints, or patient concerns to the Practice Manager.
  • Attend team meetings, training sessions, and performance reviews.
  • Support continuous improvement and maintain knowledge of current NHS services and healthcare initiatives.
  • Provide cover across different reception functions as required.
  • Carry out any other administrative or reception duties reasonably requested by the Practice Manager or GP Partners.

What you'll learn

  • Use a range of questioning skills, including listening and responding in a way that builds rapport, determines customer needs and expectations, and achieves positive engagement and delivery.
  • Use appropriate verbal and non-verbal communication skills, along with summarising language during face-to-face communications.
  • Use appropriate communication skills, along with reinforcement techniques (to confirm understanding) during non-facing customer interactions.
  • Use an appropriate ‘tone of voice’ in all communications, including written and digital, that reflect the organisation’s brand.
  • Provide clear explanations and offer options in order to help customers make choices that are mutually beneficial to both the customer and your organisation.
  • Be able to organise yourself, prioritise your own workload/activity, and work to meet deadlines.
  • Demonstrate patience and calmness.
  • Show you understand the customer’s point of view.
  • Use appropriate sign-posting or resolution to meet your customers needs and manage expectations.
  • Maintain informative communication during service recovery.

  • Maths (grade 4-9)

About this employer

We are General Practice based in Banstead, Surrey, with a patient list of approximately 8,500. The practice has been established for over 40 years. The practice team consists of:

  • 4 GP partners
  • 2 part-time salaried doctors
  • 3 practice nurses
  • 1 HCA
  • A full complement of receptionist and administrators with a practice manager

We are also supported by a range of community staff including diabetes specialist nurse (DSN), district nurses, community matron, hospice nurse, visiting podiatrist, midwife, and a counsellor.

You should also have the ability to multi-task in a busy environment. Previous experience of working in General Practice would be an advantage but is not essential as the right candidate will receive appropriate training.

The Practice uses EMIS web as their clinical system and uses ACCRUX to receive website requests online from patients. A flexible approach to working is essential to provide annual leave and sickness cover for colleagues.
